Following is the updated to-do list -- notice that it's shorter :) Please let me know of any updates. Our next meeting will be on Thursday August 14th from 3-4:30 in the 1st floor conference room of 4545.
Since it's so long before our next meeting, it's even more essential that keep communication up via email. On that note, if you send something to the group and don't get a response within a few days, don't hesitate to send us a reminder (also, you can always email me directly if a problem needs to be resolved in order to move forward).

o First time login prompt explaining aagaard use policy, requires usr response - Peter will send final policy doc to Eliot, once approval obtained - Eliot will implement once he has received approved text - Policy statement will also be sent to every user via email - Bill U. will add policy doc to web pages
o Update doc for clinicians o Bill U. will coordinate the following: - will update how folks can make CLIN: the subj line default (DONE) - will explain how to get to the vacation program via psh (DONE) - include reference for users to acquire outside consulting help - will clarify use of compose_rejects_unqualified_addrs (DONE) - the migration team will review all documentation (in progress) - will email this documentation to all clinicians - Eliot will supply email addresses (using SS#s) to MCIS support for mass mailing of documentation
o Eliot is looking into how to verify that accounts don't exist on homer and aagaard after a clinician has had an aagaard acct for 90 days
o Eliot will verify when and how often aagaard's global addrbook is updated
o MCIS support team is deciding how they want to phase the mass migration o Bill will coordinate this - a proposal of their plan will be made to the migration team - final proposal will require approval from steering committee
o Eliot will increase aagaard's disk quota to match homer's
o Eliot will clarify the trigger for the Pine documentation
o Test migration script - testing of script is now being done via beta-user migration
o Resolve any issues around providing validation file info (user/SSN/DOB) - Bill coordinating with Rob Christ and Pete Pulliam (note: this is a difficult one)
o Coordinate expiration of Aagaard accts with SDB and HEPPS - Yonah will coordinate this
o "Cleanup" of homer accounts after move o Eliot to coordinate: - Expire disabled homer accounts after 90d of dsh
o Complete doc on how to config PC/Mac to access aagaard via dialup - Bill is working on this
o "Beta 2" pilot migration - the next group of users to migrate - Peter coordinating with steering committee (DONE) - HMC Geriatrics and UWMC E.R. identified (DONE) - Peter to confirm both are: willing, pine, contacts (DONE) - Bill and Trina to contact point person to get info for account creation (DOB, SSN, any carson users)
o UW Policy and Standards doc on clinical e-mail on aagaard - Peter will get approval form steering committee (DONE) - Approval sought from MSAC and risk mgmt - Peter will get approval of how to agree/disagree with policy

The Steering Committee will provide input/guidance on the following:
o Address issue of potential need for users to sign attestation upon migration that they abide by clinical e-mail policy (similar in concept to current electronic document you sign when you first create a uniform access account) - Confirm electronic signing of attestation
o Address policy issue of group e-mail accounts for clinic teams
o Address issue of whether aagaard should be one of the choices on the public terminals in the main health sciences library
o A policy for accommodating affiliates will have to be decided -- this will impact how aagaard accounts and authentication are handled
o Will address MCIS proposal for how to phase the mass migration.
