Major Application Processes

The major processes in the UW Web Credit Card application include:

Transaction Processing: Each UW area departmental application provides the means to purchase a product or service using a credit card from an application "checkout" Web page. The "checkout" Web page collects the credit card and customer information that is required by VisaNet to complete the transaction. When this Web page is submitted, information is passed to the UW Web Credit Card server, logged, and then sent to VisaNet for authorization. An authorization response is returned from VisaNet, logged, and then passed on to the UW area application. No credit card number information is kept at the UW, either centrally or locally.

Transaction Settlement: The UW Web Credit Card application collects data on a daily basis from the database for transactions that have been authorized but not yet settled. This information is submitted to VisaNet for processing to the UW merchant services bank (US Bank). From this point, the processing follows the current Point of Sale banking procedures. The charged amounts are deposited in the UW's account at US Bank, then the total for each batch is transferred to the UW's account at Bank of America. The bank statements from Bank of America are reconciled with reports from the UW's FIN system.

Refund Processing: A refund/credit Web page allows authorized users from UW departments to process a credit or refund transaction. A central Web page in the UW Web Credit Card application provides this functionality and communication with VisaNet.

Standard Viewing Web Forms and Reports: Standard Web viewing forms and reports are provided in the application. These provide the means to query the departmental data and to prepare standard reports. Reports include Transactions listings, Transaction Summary and Statistics, Settlement Report, Activity Logs, and Billing Reports.

FIN TC30 Transaction Data: The UW Web Credit Card application includes a Web page that departments can use to produce Cash Transmittal (TC30) data for credit card receipts.

Security and User Authorization: The UW Web Credit Card application incorporates two methods of security and authorization. These include the UW department (Merchant) and the application user. A UW department must be established as a UW Merchant with the UW Controller's Office and as a valid merchant in the UW Web Credit Card application. User access involves authentication as a UW affiliate using the UW Web Authentication Service (WAS) and then functional authorization within the application. Communications are protected end-to-end using SSL.
