Classroom Information


Permanent Pupil Files
Pupil files (school district files and EEU permanent records) are kept in the school Admissions office, CD153.  You may pull files yourself, but you may not remove them from the office.  When you examine a file, note the reason and sign your name on the cover sheet stapled inside the file.  There is a section for these notations on the bottom third of the cover sheet.  DO NOT REFILE FOLDERS YOURSELF.  Place files on top of the filing cabinet in the box provided.

Classroom Files

Teacher files and related service staff files must be kept in drawers that lock.  Please do not leave files on desks because we have many people circulating through our building.

If you need to release to outside professionals or agencies copies of any part of the contents of your professional file on a pupil or the pupil's permanent file, make arrangements to do so through the admissions assistant.

Check your copy of the pupil's referral form before releasing confidential information over the telephone to persons other than parents and EEU staff.  Permission has been granted for release of information if the "restrictions" section contains no notes otherwise.  Restrictions of any kind will be noted in this section.  Be careful.  It is not unusual for parents or guardians to bar the release of phone numbers and addresses.  Check with the admissions assistant if you do not have a referral form or if you are uncertain about what information can be released. 


Student Files

Uniform organization for Teacher, Related Service and Admissions Files

  1. Emergency contact information form (current or most recent in front)
  2. Parent contact:  notes, emails, record of phone calls
  3. Assessments
  4. Reports (most recent in back)
  5. IEPs and IFSPs (current or most recent in back)

Additional Instructions: 

Please put assessment summaries and reports in the report section (not with the assessment protocol itself).  Family friendlies go with reports too, and again the more recent reports to the back of the reports section. 

Quarterly IEP progress reports should be filed with the IEP. 

The assessment section is for the actual protocols, which are not likely to be needed by other staff or agencies.

The way I visualize it is a sandwich, with the most important/relevant documents (those that need to be looked at most often) are on the outside where they are most accessible.  In a file, you can always put your hands on the first and the last documents with your eyes closed - and file them away again the same way. 


Classroom Hours

The typical work day for fulltime classroom staff is from 8:00-4:00.  Regular or occasional adjustments to this schedule should be cleared through the principal's office.  Preschool classes run for 2 hours, 15 minutes each day, two sessions per day from 8:45 a.m. until 11:00 a.m. and from 12:30 p.m. to 2:45 p.m.  The Kindergarten class runs from 8:45-2:45, Monday through Thursday and ends at 12:30 on Fridays.


Faculty/Staff Classroom Assistance Protocol

When faculty or staff members at the EEU have time to provide assistance to classroom teams, they will:

  • Ask if the team would like assistance or help
  • Ask if this is a convenient time to provide assistance
  • Respect the right of the classroom team to say that help is not needed or wanted at this time
  • Respect the right of the classroom team to say the timing of the assistance is inconvenient

Classroom teams should feel comfortable:

  • Asking for assistance when they need it
  • Telling faculty and staff members that they do not need or want help
  • Telling faculty and staff members that the timing of the assistance is inconvenient

Transportation

Bus Driver Responsibilities

  • Driver must remain on bus when children are on board, loading, and unloading.
  • Children must remain on bus until the teacher comes for them.
  • Driver must check that all children are off the bus before leaving.
  • Seat belts must be on and tight at all times on bus.
  • If a behavior problem comes up, discuss it with the child's teacher.
  • Maintain confidentiality.
  • No smoking.

EEU Responsibilities

  • Provide information to drivers regarding specific disabilities.
  • Teachers get to bus on time.  Pick-up 8:45 a.m. and 12:30 p.m.  Drop-off 11:00 a.m. and 2:45 p.m.
  • Teacher tells driver if child went home with parents.
  • Teachers set one day for Show and Tell for all classes.
  • Do NOT send food home with children.
  • Teachers put on and remove harnesses outside of bus.
  • Be sure children have backpacks for carrying papers to and from school.

Ordering Classroom Supplies
In order to obtain many services and supplies for you classroom, make requests to the EEU Principal or your supervisor.  Limit for purchase orders is $3,000 before UW purchasing must request bids.  A file of catalogs for classroom supplies is located in CD106.  You may review any catalog that interests you, but please return the catalog; someone else would like to use it when you are through.  Fill out the Request for Off-Campus Expenditure form for orders of this nature.  Time of delivery varies with these orders.

Hallway Displays

Use bulletin boards to display art work, etc.  Do not use staples or glue to hang art work on waterproof vinyl wallpaper.


Laundry

A washer and dryer are located in Room CD113 to wash towels, etc.  See the school secretary, Zee Yilma to get trained on proper use of the washer.  Detergent and bleach are supplied to clean and sanitize dirty clothes.  Please do not throw dirty clothes on the floor.

Field trip shirts must be washed, dried and folded promptly after you use them so they are ready for the next group.

Minimal supply of extra clothes is also available.  Please return clean items to appropriate bins.


Petty Cash Reimbursement

All Petty Cash purchases over five dollars must have prior approval from the EEU Principal.  After approval and purchase, staple receipt(s) from the vendor to a Petty Cash Reimbursement form and turn it in to the EEU Petty Cash Custodian, Kiet Tam.  Forms are available in CD101.  Limit for petty cash purchases is $700.


Sharing Closet

Materials to be shared by all classrooms are stored in rooms CD 143 (The Sharing Closet) and 107B (The Sharing Alley).  Please make sure that materials borrowed are complete and clean when returned and that these rooms are organized and neat.

Sharing Closet Guidelines (143)

  • Borrowing:
    • All materials are for classroom use.
    • Please take the whole box as to keep items together.
  • Returning:
    • Organize items neatly in their box.
    • Do not add to prop boxes. (They are full to capacity).
    • Replace boxes to their corresponding labeled shelf.
    • For large furniture items please place them neatly in the corner.
    • ***DO NOT place anything in here that did not originate from the Sharing Alley.***

Sharing Alley Rules (107B)

  1. All materials should be stored on the shelves, counter or under the counter (against the left hand side of the alley as you walk in)
  2. Do not add new items to the Sharing Alley unless you are replacing materials that were lost or damaged
  3. If you have new items that you would like to share, please bring them to the Assistant Principal (DO NOT LEAVE THEM IN THE ALLEY)
  4. Please inform the Assistant Principal if items are lost or need to be replaced
  5. Record the items you borrowed on the clipboard before taking them
  6. Make sure bins containing sensory materials are sealed so that we do not have rodent problems.

Observation Booths

Please have your visitors sign the visitors' form.  These forms are available in CD101 for group tours and in every observation booth for individual classroom observation.  Please keep at least three chairs in the booth for visitor use.  Materials kept in the booths should be kept to a minimum and should be stored neatly.

Reminder:  Remember, there are always observers in the booth.  Please dress with this in mind (i.e., no low cut or revealing jeans, pants, shirts, etc.)


Field Trips

Funds for field trips are limited.  Before planning a field trip please take these steps:

(1)     At least two weeks before the field trip sign up on the field trip calendar in the Principal's office giving the date and time and briefly describing the trip and its purpose.

(2)     Fill out a Motor Pool Reservation Request, available at the Admissions Office in room CD153.  The EEU contracts with the Seattle School District Transportation to provide bus service for field trips.

(3)     Send to parents a letter describing the field trip and ask them to return a signed permission slip.  If parents choose not to sign a permission slip, they can be asked to keep their child at home on that day.  If a parent forgets to return the slip, verbal permission is acceptable if the child has a signed field trip permission slip in his file in room CD153.

(4)     Let support staff, trainers, any researchers in your classroom and the receptionist know the date and time you will be out of the building.

(5)     Give the Principal a note about field trip departure and return times and child-adult ratios the day before field trip.

The head teacher is always in charge of all arrangements for field trips and is responsible for safe management of the trips.  Money paid by parents is also the responsibility of the head teacher.  Checks should be made out to the University of Washington and are to be deposited through UW Cashier’s Office.  Have parents note for field trip on check memo line.  Cash received must be deposited on the same day, and the receipt must be given to the parent, so checks are preferred.  Bring checks and cash to Jim Cornwall in CD170.


School Lunch Program

In order to partially cover the cost of lunches and snacks, the EEU participates in the cash reimbursement program for meals and meal supplements (snacks) run by the U.S. Department of Agriculture.  Based on family income and number of family members, the USDA will pay for all or part of breakfast snack for a half-day child, and breakfast and lunch for a full-day child.  All children receive free meals and the EEU is reimbursed based on a free and reduced-price formula.

Teachers should turn in lunch counts by 9:30 a.m. each day to the kitchen.  It is very important that this is done regularly and accurately!

The EEU tries to respect individual dietary restrictions (e.g. kosher diet, casein free, dairy free and food allergies).  The EEU is a peanut free school.  Please consider these special diets when planning classroom projects.


Meal Count Procedures
  1. Meal count sheet at the time meal is served.
  2. Count at the time the food is served, not at the end of the day
  3. Don’t go by attendance - a child may arrive after mealtime or leave before mealtime, therefore be in attendance but not receive meal

Count during the following meals:

  •  Breakfast (Kindergarten, AM Preschool, ITP AM playgroups)
  •  Hot Breakfast (ECEAP)
  •  Lunch (Kindergarten, ECEAP, Project DATA)

The meal is counted as served to a child if:

  • The child may have 3 of the 4 breakfast components (grain serving, fruit or vegetable serving, additional grain OR protein serving, and milk), i.e. the components are allowed in the child’s diet,
  • or the child may have 4 of the 5 lunch components (protein serving, two vegetable &/or fruit servings, grain serving, milk), i.e. components allowed on their diet, AND
  • All meal components are on the table, available to the child, whether or not she or he eats them.
  • Milk is served for Hot Breakfast, Breakfast (morning snack) and Lunch. 

·        Milk must be on the table and available to every child (unless excluded by a special diet), whether or not she or he drinks it.


Kitchen Procedures

Kitchen refrigerator.  Staff may not use the kitchen refrigerator for any personal use.  Also, staff may not use the kitchen refrigerator to obtain student food or prepare student food in the kitchen except with permission from the EEU cook or in the event of an emergency.  Staff wishing to order a lunch for a child who forgot his/her lunch are requested to notify the EEU cook as early as possible.

A refrigerator for staff use is located in CD106E.

Sink.  Please read the signs above the sinks.  The sink closest to the refrigerator is to be kept clean for the purpose of food washing and handling only.  The sink closest to the dishwasher is to be used for dirty dishes. A hand washing sink is in CD112.

Art Project Prep.  Preparation for art projects cannot be done in kitchen areas.  Use sink in Laundry Room or your classroom.

Clean-up.  Each classroom should return the snack trays to the kitchen as promptly as possible (by 3:00 for the afternoon classes).  Staff should throw away contaminated food and trash, put dishes in the sink, and place the trays on the silver cart across from the sink.  Whole fruit should be put in the food-only sink.  Please check with kitchen staff regarding best times for dish washing and general dish washing procedures.

When staff borrows dishes and utensils for cooking projects or personal use, they are responsible for washing those dishes before or upon returning them to the kitchen.  Sign-up sheets are required to be filled out before kitchen appliances, food or dishes are used.  Paper products are not available for personal use by staff.


Playcourt

Because time at playcourt is an important part of a child's education here at the EEU and because the central playcourt is an area with great hazard potential, special care should be taken to keep it orderly and well-supervised at all times.  Adults should accompany children on the playcourt.  It is recommended that at least one adult actually be stationed up on the play structure at all times during playcourt.  Remember, playcourt time is as important as classroom time to work on child goals and objectives.  Talk with your classroom’s OT/PT for activities to engage children and embed instruction.

Set Up

All teachers using the playcourt are assigned one week a quarter where they are responsible for the set up and maintenance of the court.  This set up should be made the Friday before the week you are assigned.  Safety is the number one consideration when arranging playcourt equipment.

Wheel Toys

Tricycles are used only on Friday.  The use of wheeled toys needs to be carefully monitored by the teacher.

Tricycles should be used by children on the cement area only because children who are climbing, building with outdoor blocks, etc. are freed of the frustration (and sometimes dangerous aspects) of tricycle riders careening through their activities.

Climbing Equipment

All climbing equipment should remain on the rubber pad for safety purposes.

Clean Up

Equipment should be put in the original arrangement after use.  All balls should be put back into the ball pit at the end of each class.

Equipment Repair

In case of damaged equipment, please report immediately to the principal's office so that she may arrange to have it repaired.  If it is hazardous, it should be placed out of the reach of children immediately.

TRAINING
