Check list before you leave for vacation or an away rotation

(For HMC continuity clinic residents only)

 

 

  1. Make a list of active/pending patient issues that your fellow resident needs to follow-up on while you're gone.  Alternatively, create a Proxy In-Box Folder in ORCA for your attending or fellow resident. 

 

Proxy In-Box Folder: You can give other providers access to certain results which appear in your In-Box.  They can review and sign these while you are gone.  Instructions on how to do this can be found at www.orcaed.washington.edu.  Click on ‘How do I…” and then under the ‘In-Box’ heading, select ‘Proxy In-Box Review Folder.”

 

  1. Make plans to check ORCA inbox from a local computer OR ask your attending or fellow resident to review lab results.

 

  1. Notify Anita Leake and Dr. Terasaki: send them an e-mail (aleake@u.washington.edu and terasaki@u.washington.edu) and they will forward notice of your absence to the appropriate staff.  Also, placing a sign on your clinic mailbox seems to work well to remind staff that that they will need to find someone else to fill out forms etc.

 

If you are leaving for longer than one week and are planning on checking e-mail infrequently,

 

  1. Put your email account on VACATION mode. (How?) https://mailsrvc-h.u.washington.edu/1/edm2/front.cgi/vacation  When an email is received, the program will automatically send your vacation message to the sender. Your vacation message should include the dates you will be gone and who is covering your clinic panel while you are away. Don’t forget to turn off.
