You are required to deposit safe copies of your field materials in the Jacobs Research Fund Collection at the University of Washington's Division of Archives and Manuscripts in the interests of protecting your irreplaceable field data. Only copies are deposited; you will retain your originals.
Access to these materials is, and always will be, strictly controlled. As depositor, you will have sole control of access to your material during your lifetime or until you wish to transfer control the Collections Board of Trustees (a group of responsible scholars).
Any arrangements to deposit copies elsewhere must be detailed in your proposal with supporting documents; e.g. a copy of a letter from another archive agreeing to accept your materials and make them available for scholarly use after your death.
The cost of copying your materials and delivering them to an archive is to be paid for out of the research funds you received.
The importance of filing your final reports and archiving the results of research cannot be over-stated. Researchers may hold grants in consecutive years, but the final report must be filed and materials must be archived before subsequent funding can be received.
