ALL LINING UP MARSHALS:
Please report to the Lead Lining Up Marshal in the Outdoor Practice Facility, (located SE of the stadium) at 12:00 p.m. on Commencement day. He/she will assign you a position inside the facility and provide any additional instructions necessary. Review the information below for your general duties.
The SE lining up area is reserved for candidates from the Schools and Colleges listed above, as well as the Bachelor of Science candidates from the College of Arts and Sciences. Please open the link titled Lining Up Chart (SE) on the previous page to view how the line up should be arranged. The bachelor candidates from Business Administration, Engineering, and the Bachelor of Science groups are especially large. Be sure to assign members of your team to assist these larger groups.A marshall will head up each of the lines represented on the attached chart. The candidates should form in four lines, each of equal length, behind these marshals, as noted on the chart. Check these lines continually. Have the candidates select a line and stay in it. in order to follow the seating plan it is necessary that the order of march be maintained exactly as specified in the lining up chart.
Doctoral and master's candidates from certain Schools and Colleges are occasionally moved to the opposite lining up area to balance the number of candidates entering from the north and south. The charts on the previous page will tell you which students (i.e., students from which Schools and Colleges) should line up in each area. Please make sure that the students in your doctoral and master's lining up areas are from the correct Schools and Colleges.
As the marshals leading the individual lines begin the march they cannot watch behind themselves, so it is your job to ensure that the candidates stay close together and move out quickly remaining in their four lines.
Once the procession is moving smoothly, the Lead Marshal will position the team along the route to the stadium to supervise the march of the four lines. Be sure candidates do not change lines. It is important to see that the four lines are distinctly separated. The faculty, in two lines, will head the procession, followed by four lines of doctoral, master's and bachelor candidates.
After the last group has entered the stadium, faculty marshals in academic attire may walk to the west end of the stadium and march up the outside aisle, as a group, with the seating and west end marshals to the stage. You'll sit in the faculty seating section at the back. Stage marshals can assist you if necessary. All other lining up marshals may take a seat in the stands to view the Commencement proceedings.
LEAD LINING UP MARSHAL Note to Gary: There will be a secure area on the Outdoor Practice Facility where students may leave items, if absolutely necessary, and where items left inadvertently will be stored. Please announce to the students that
1) they need to keep the middle aisle clear at all times during the ceremony. The only exception, for some of them, will be when they are returning from the stage after receiving their diploma covers and mementos;
2) they need to be in their seats just before the speaker begins his address to the students. This occurs right after the ASUW President addresses the class; and
3) out of respect to their fellow students and the faculty and dignitaries who have come to confer their degrees, they are asked to return to their seats after they walk and remain there until the stage party has recessed. Students are not allowed to leave the floor of the stadium until the ceremony is concluded.
INSTRUCTIONS FOR COLLEGE MARSHALS:
Lining up area charts will be posted just inside the faculty entrance to the Outdoor Practice Field which shows their assigned positions.
Instruction cards for College Marshals will be posted on the main stanchions in the lining up area. These cards cover the basic duties of these marshals as listed below.
Notify each marshal which lane they will be marching down when entering the stadium.
College marshals should look for the westend marshal in their lane, as they approach the west end of the stadium and take directions from that marshal.
College marshals should also be told that seating marshals will be in charge of seating the candidates and they should drop off candidates with these marshals and proceed on to the stage.
ANNOUNCEMENTS TO STUDENTS
They should not leave personal belongings in the line up area. If they do, those items will be taken to the stadium lost and found by the ticket booth.
Instruct students to move to the end of the row and fill in every seat when being seated so as not to impede seating of others.
Once they enter the stadium and take their seats, they cannot cross the track. They must remain on the field.
They should remain in their seats unless they need to use the bathroom or get water at the west end of the stadium.
They should remain in their seats during the commencement address.
ENTRANCE GUIDE NOTE:
You will be positioned on the track at the point where students begin entering the stadium. Your duty is to ensure that the two right hand lines pass to the left of you and that the two left-hand lines pass on the right of you.
