UNIVERSITY OF WASHINGTON COMMENCEMENT CEREMONY
DETAILED INSTRUCTIONS FOR ROBING ROOM MARSHALS
10:00 a.m.
Arrive and pick up your credentials at the credential booth (next to the ticket booth in the front of Husky Stadium) prior to entering Hec Edmundson Pavilion, which is where the President's and Dean's Parties will be robing. Please bring a current ID with you to obtain your credentials.
10:15 a.m.
Proceed to Hec Edmundson Pavilion and go directly to the President's Robing Room ("Founders Club " on the upper level) Please enter through the southwest corner entrance marked "Founders Club" and take the stairs up to the "Founders Club", which will be marked "President's Party". Please note: There are 2 robing rooms (1 for President's Party located in the "Founders Club") and (1 for the Deans Party located in the "Film Room" on the lower level). There is also 1 changing room for faculty, which is located across the hall from the Deans Robing Room. All of the rooms are located in the Hec Edmundson Pavilion and will be labeled so that you may find them easily. Apparel for both the Deans and the President's party will be housed in the "Film Room" when you arrive.
At this time you should indentify which staff will be working in each room ("Founders Club" and "Film Room" - the faculty room does not have a robing room marshal) and begin checking the apparel to ensure that you have everything you need. There are boxes of extra tams, hoods, etc. please divide these up between rooms as you desire. Note: The gold honor cords are extras, in case the President's Medalists, who are students in the Deans Party, show up without one. Once you have checked to ensure that you have all items needed you may begin moving the items for the Presidents Room upstairs. Please note that we need to have everything situated by 11:00 a.m. as the Regents will be hosting a luncheon and our staff should not be in the Founders Club during this time. The Deans party apparel will remain in the Deans Robing Room and the lead marshal will be responsible for ensuring the security of the baton for the Deans Marshal, Hannah Wiley.
President's medal, the mace and script should remain in the President's robing room. The President's party lead marshal will be in charge of monitoring the security of the mace, medals and script. Ensure that the President's party apparel rack is placed in the south end of the room and that you have extra hanger on each rack.
11:30 a.m.
Return to the Deans Robing Room and discuss any details that would be helpful to the new staff joining us this year. A training session will be led by Joyce Blackbird to instruct staff on how to robe and hood the various parties.
12:00 p.m. - 12:30 p.m.
You may use the lunch ticket you received along with your credentials to purchase a lunch at any of the concession stands.
1:00 p.m.
Ensure that the caterer has drinks ready for the robing room parties and snacks ready for the Deans robing room.
1:00 p.m. - 1:40 p.m.
Assist the President's and Deans parties with robing. All participants should be dressed and ready to go by 1:40 p.m. Please note that mirrors are available in the "Founders Club" restrooms or the Deans Robing Room.
Lead Marshal note: Ensure that you notify the Deans Marshal, Hannah Wiley, and the President's Marshal, Kim Johnson-Bogart to have the faculty in the tunnel and lining up by approximately 1:45 p.m. Since our radio connections do not work in the tunnel please ensure that this happens on time.
2:00 p.m.
After both parties have left, please make your way to the stadium floor or Don James Center and enjoy the show!
4:20 p.m.
Prior to the recessional, return to the robing room to ensure that you are there to assist the parties in disrobing when they return. Ensure that all three pieces of the apparel are returned to the correct garment bag. Return the President's Party apparel rack to the Deans Robing Room and begin assisting the lead robing room marshal in preparing the garment racks for the Bothell ceremony for the following day. The Bothell ceremony apparel rack list will be in the box in the Deans Robing Room so that you can easily know which gowns to place on the rack. When you have placed all of the gowns for the Bothell ceremony on a rack please attach the robing list for the ceremony to the front of that rack so that tomorrow's crew will know what is there.
After these tasks have been completed you may feel free to leave. Thank you so much for all of your help!
President's Party Lead Robing Marshal: You will maintain the mace until it is handed to the University Marshal Ron Moore as the procession begins. (He will return it to you after the ceremony.) You will also be responsible for ensuring that the President has on the President's Medal and has his script in hand when leaving the robing room.
Our speaker is Norm Dick. He will be arriving along with his wife, in a town car - contact Sara for specifics. We will receive a call before his arrival and you may need to go out and meet him and walk him in. I will provide you with the information that has been distributed to the speaker. He has two or three choices of sizes on the rack for his gown and tam as they were not totally sure of his measurements. He is a Juris Doctor from the UW, which means he wears the traditional black gown with purple velvet band on the hood and a black tam. If you get any questions about this you can let them know that this is the appropriate apparel for a UW Professional Degree.
Please inform Regent Fred Kigal, Provost Phyllis Wise, Vice Provost Ed Taylor and President Mark Emmert that the photographer has marked a spot on the stage that they would like them to stand on when they are distributing the diplomas and doing the handshakes with the students. Ask them to look for the tape and to please stand on it.
Deans Party Lead Robing Marshal: Ensure that you hand the purple velvet baton to the Deans Marshal, Hannah Wiley, before she departs the Robing Room. Also, check the President's Medalists (there are two people this year) to ensure that they have a gold honor cord draped around their necks. If they do not have one, you may use the one supplied in our extra box.
Please inform Dean Ortega that the photographer has marked the stage with tape to show where they would like her to stand when they are distributing the diplomas and doing the handshakes with the students. Ask them to look for the tape and to please stand on it.
