CLINICAL CLERKSHIPS FOR VISITING NON-U.S. AND NON-CANADIAN MEDICAL STUDENTS

  • Sponsors must write a letter to the Associate Dean for Academic Affairs requesting sponsorship of the non-U.S. medical student. The student must have a personal or professional relationship with the sponsor. [See Guidelines for Sponsoring Students of Non-U.S. and Non-Canadian Medical Schools below]

  • After the Associate Dean for Academic Affairs approves the sponsorship, a memo is sent along with the Preliminary Application to the student which outlines the policy of the University of Washington. A memo is also sent to the sponsor and a copy of the Sponsorship Guidelines. The preliminary application must be signed by an authorized representative from the student's school and imprinted with its official seal.

  • Once the preliminary application is returned and approved by the Associate Dean for Academic Affairs, a copy of the approved application and a pink Foreign Student Clerkship card is sent to the department. At that time, the student is approved and may start contacting the departments by mail, phone, or e-mail. (No applications should be sent to the student from your office. It is the responsibility of the non-U.S. student to contact each department to set up his/her clerkship.) Once the clerkship is scheduled, the completed pink card should be sent to Trudy Furberry in the Student Affairs Office in Room A300, Box 356340, so that the information can be entered into the system.

  • If any changes need to be made in terms of the scheduling of the clerkship, or if you have any questions, please contact Trudy Furberry at (206) 543-5560.

  • An evaluation should be submitted to Trudy after the completion of the clerkship so that an unofficial internal transcript may be sent to the student's school once he/she has left the United States.

SPONSORING STUDENTS OF NON-U.S. AND NON-CANADIAN MEDICAL SCHOOLS
Departmental Guidelines

POLICIES
  1. It is the policy of the School of Medicine not to accept medical students from non-U.S. and non-Canadian schools for visiting clerkships, except at the special request of a faculty member who wishes to act as a sponsor. It is expected that the faculty member and the student have some personal or professional relationship (e.g., friend, family member, common tie at the student's school).

  2. Student clerkships for students from non-U.S. and non-Canadian medical schools are limited to a total of twelve (12) weeks, twenty-four (24) credits, with a mandatory minimum of 6 weeks, 12 credits in any given quarter. Students are registered for two credits for each week of clerkships.

  3. International visiting students must be in good standing at their schools and be in the final year of undergraduate medical training.

  4. Students from international (non-U.S. and non-Canadian) medical schools who are not U.S. citizens must obtain STUDENT VISAS as part of the University of Washington admissions procedure. Neither tourist nor visitor visas are acceptable according to immigration law. At least 6 months of lead-time is required for obtaining student visas, processing enrollment for these students, etc.

  5. Visiting students must register and pay tuition during each quarter in which they are enrolled to be covered by University of Washington malpractice insurance. They must also provide proof of personal health insurance coverage, immunizations, and universal precautions training. In addition, students must pay non-resident/non-matriculated tuition.
PROCEDURES

The sponsoring faculty member must write to the Associate Dean for Academic Affairs requesting permission to sponsor a student of a non-U.S. or non-Canadian medical school. The letter should include:
  1. A description of the relationship with the student;
  2. The student's mailing address, fax number (and e-mail address if available);
  3. A description of the clerships of interest;
  4. Information on the student's background and qualifications.
After approval by the Associate Dean for Academic Affairs, a staff member will write directly to the student stating that he/she has received a request of sponsorship and informs the student of the visa requirements, tuition information, a preliminary application, clerkship descriptions, and clinical schedules. The student is asked to submit two letters of recommendation verifying his/her status, transcripts (in English), and the preliminary application imprinted with his/her school's official seal. Academic Affairs staff will forward copies of this correspondence to the sponsoring faculty member.

After a review of the student's record, the Associate Dean for Academic Affairs formally approves the student. The student is instructed to contact clinical departments about clerkship availability. (The faculty sponsor is expected to assist in this area.) All clerkship arrangements should be firm before the student leaves his/her country for the United States.

The student must report to the Academic Affairs Office two days before his/her clerkship begins. This will allow time for the student to register with the University, finalize visa arrangements, and pay tuition before beginning the clerkship.

The sponsoring faculty member is responsible for verifying the student's educational experience for the student's home school, and supplying the Academic Affairs Office with a copy of the documentation.
