SCHEDULING

§         Schedule appointment in EPIC.  Keep a list to add to Imagecast after downtime.

§         Monitor Fax machine for incoming requests.

 

FRONT DESK

BEFORE DOWNTIME

AFTER DOWNTIME

§         Print schedule of patients expected during downtime and after.

§         Monitor fax machine for requisitions

§         Call tech to inform them of STAT exams.

§         Monitor scheduled patients list and call Tech when they arrive.

§         Note any No Shows on this list.

§         Walk-in patients - Check with the tech to see if they can be done.  If yes, schedule for today in EPIC, if not, schedule for a later date in EPIC.

§         Schedule any non-stat requests that arrived during down time.

§         Add anything scheduled in EPIC into Imagecast.

§         Assist techs as requested.

 

X-RAY TECH

BEFORE DOWNTIME

DURING – STAT

DURING – OTHER EXAMS

AFTER DOWNTIME

§         Print out a schedule for the day and requisitions for exams during the anticipated downtime period.

§         Keep up with scheduling add-on’s and completing exams until system goes down to be as up-to-date as possible at the start of downtime 

§         Use a paper requisition for each exam (this may be faxed or tubed from the patient care areas) and add any information needed for later completion of the exam in Imagecast 

§         Enter patient information manually into the scanner.

§         Continue sending exams to PACS unspecified and inform the radiologist they need interpretation.

§         Use a paper requisition for each exam (this may be faxed or tubed from the patient care areas) and add any information needed for later completion of the exam in Imagecast. 

§         Enter patient information manually into the scanner.

§         Hold images on the modality as long as possible. 

 

§         When the system comes back up, schedule and complete all studies done during downtime.

§         Send images to PACS.

§         Merge the unspecified exams in PACS with the Accession numbers. 

§         Check against the paper requisitions to make sure each one gets in the system.

 

CT/MRI/NM TECHS

§         Print out a schedule for the day and requisitions for exams during the anticipated downtime period.

§         Keep up with scheduling add-on’s and completing exams until system goes down to be as up-to-date as possible at the start of downtime 

§         Use a paper requisition for each exam (this may be faxed or tubed from the patient care areas) and add any information needed for later completion of the exam in Imagecast.

§         Enter patient information manually into the scanner.

§         Hold images on the modality and inform the radiologist they are ready for interpretation on the scanner..

§         Use a paper requisition for each exam (this may be faxed or tubed from the patient care areas) and add any information needed for later completion of the exam in Imagecast. 

§         Enter patient information manually into the scanner.

§         Hold images on the modality.

§         When the system comes back up, schedule and complete all studies done during downtime.

§         Send images to PACS.

§         Merge the unspecified exams in PACS.

§         Check against the paper requisitions to make sure each one gets in the system.

§         Use a paper requisition for each exam (this may be faxed or tubed from the patient care areas) and add any information needed for later completion of the exam in Imagecast.

§         Enter patient information manually into the scanner.

§         Send images to MCKESSON PACS.

§         When the system comes back up, schedule and complete all studies done during downtime.

§         Send images to GE PACS.

§         Merge the unspecified exams in GE PACS.

§         Check against the paper requisitions to make sure each one gets in the system.

 

RADIOLOGIST

BEFORE DOWNTIME

DURING – STAT

DURING – OTHER EXAMS

AFTER DOWNTIME

§         Dictate STAT exams and get preliminary reports out prior to start of downtime.

§         Be as up-to-date as possible dictating the other exams on the worklist at the start of downtime 

§         Save as much as possible to preliminary status.

§         Use GE PACS worklists.

§         Review images from the modality if they were not sent to PACS.

§         Dictate STAT exams into Dictaphone and call the report to the appropriate location or provider.

§         Use GE PACS worklists.

§         Angio – dictate in Dictaphone as usual and Sign reports from Signature Queue once the system is back on-line.

§         NM – read images from Rosita.

§         US – read images from McKesson.

§         Other – read images from the modality or unspecified images in PACS.

§         When the system comes back up, review the RIS worklist for any exams done during downtime that need to be marked “dictated”.

§         Sign off dictated reports once the system is back on-line and the report has been transcribed.

 

TRANSCRIPTION

BEFORE DOWNTIME

DURING – STAT

DURING – OTHER EXAMS

AFTER DOWNTIME

§         Notify staff in advance so we have extra available to transcribe once downtime is over.

§         Reports can be transcribed in MSWord during extended downtimes and faxed/tubed to provider or patient location.

§         Copy anything transcribed into MSWord into the corresponding accession number in Imagecast.

 

CPOE

BEFORE DOWNTIME

AFTER DOWNTIME

Notify staff of the expected time that CPOE will be unavailable.

Fax all requests to Radiology.

ER exams are always treated as STAT.

Notify staff when the system becomes available.

Find out who will be on duty and how to reach them.

Check that all systems and interfaces are running.

Before Down Time Starts (planned downtime) notify:

  • IT Helpdesk
  • Leads / Supervisors
  • Ancillary departments using CPOE
  • Radiologists

Call the Transcription Lead (or designee)

Communicate with on duty radiologists in person or via the PSR’s

Email the Coding Lead (or designee)

Redirect FAX’s to Front Desk FAX machine.

Communicate with on duty radiologists in person or via the PSR’s

Notify user the system is going down.
