Promotion and Tenure Documentation


New Professorial level appointments and Lecturer appointments one year and longer:

Letter from Dean to President including:
   • appointment title
   • start date
   • service period (9 or 12 months)
   • salary
Chair's letter including:
   • Chair's evaluation and recommendation
   • Departmental vote: number of eligible voting faculty and vote count (affirmative, negative abstentions, absences)
Offer letter
3 letters of recommendation
Applicant flow and copy of job advertisement
Curriculum Vitae & Bibliography
UW Biography form
Affirmative Action Data Form
VISA documents as appropriate
Conviction/Criminal History Form (where applicable)
Washington State Patrol Form (where applicable)

Additional requirements for new Joint and Adjunct Appointments:

Chair or Dean's letter from new joint or adjunct department recommending the appointment
Concurrence from Chair of home department for adjunct appointment, or from Dean of home department's school for a joint appointment
Faculty vote

Promotion & Tenure:

Letter from Dean to President including:
  • School/College committee/council review and recommendation
Chair’s letter including:
  • Departmental vote: number of eligible voting faculty and vote count (affirmative, negative abstentions, absences)
  • Reason for the faculty decision
  • Chair’s evaluation and recommendation
Department review committee report
Candidate’s response to department review
Candidate’s self assessment statement (UW Handbook, Vol II, ch 24, section 24-54)
Curriculum Vitae & Bibliography
One copy of each of the candidate's submissions as evidence or examples of professional growth and achievement
3-5 external evaluations – outside letters by recognized contributors to their field
Evidence of teaching effectiveness (for titles that have teaching responsibility)
  • List of all courses taught at UW
  • List of graduate students supervised, with thesis topic, degree, dates
  • Student evaluation forms
  • Peer evaluations
  • Chair's evaluation of overall teaching record

Additional Promotion & Tenure requirements for Joint Appointments:

Letter from Chair of secondary unit including:
  • Department vote
  • Chair's recommendation
  • Other pertinent materials (e.g. teaching evaluations, department review committee report) as available

Additional Promotion & Tenure requirements for Adjunct Appointments:

Letter of concurrence from Chair of secondary unit (no department vote required)

Promotion & tenure requirements for affiliate or clinical faculty:

Letter from Chair including:
  • Statement of role played by candidate in the department
  • Documentation providing evidence of effective service appropriate to that role
