ASUW Funding
The Associated Students of the University of Washington (ASUW)
allocates approximately $30,000 every year to help fund RSO on-campus events
that benefit or are of interest to UW students. Special Appropriation funds
are requested from the ASUW Finance and Budget Committee (F&B) through a
proposal process with the SAO Advisers. Special Appropriation funds may be requested
for RSO events such as dances, cultural shows, talent shows, speakers, concerts,
etc.
ASUW Special Appropriation funds may be requested for:
- Facilities and equipment rental
- Event related Printing and Advertising
- Tickets and/or Ticket Staff
- Security
- Honoraria for performers or speakers
ASUW Special Appropriation funds may NOT be requested for:
- Giveaways/Promotional Items such as T-shirts, doorprizes, etc.
- Food
- Alcohol
- Events which are *not* of primary benefit to UW students
- Events controlled by non-students
- Events held off-campus
- Fundraisers, donations, advocating for legislation or partisan political
activity
- Religious worship, exercise or instruction
- Honoraria for resource people on the University payroll as staff or faculty
- Reimbursements for past events
- Student organization operational expenses (including, but not limited to,
office supplies, equipment, salaries, telephones, telephone charges, etc.)
ASUW Special Appropriations Funding Process
The Special Appropriations Committee follows the standard
2 meeting proposal process which involves first and second readings of all proposals.
The requestor must be prepared to attend two (2) F&B committee meetings
and possibly one (1) BOD meeting and all proposals must be initiated no less
than three (3) weeks prior to the event.
The most important item is the written proposal and budget.
The strongest proposals/requests are clear and provide all essential information.
All funding requests should be addressed in writing to the
F&B Committee but submitted to an SAO Adviser. Remember to include any additional
expense explanations to the proposal such as reservation, printing and honorarium
estimates and/or speaker/performer vitae.
Please address the following items with sufficient detail
in your written or budget proposal so F&B can make an informed decision.
- Briefly describe your RSO and its purpose.
- Describe the details of the event/program and include the WHO, WHAT, WHERE,
and WHEN and HOW MUCH of the event.
- What is the past history of the event? Has your group presented this event/program
in the past? If yes, what kind of response did it receive? Provide attendance
numbers, summarize any feedback you gathered, amount of revenue generated,
previous evaluations, Daily advertising or write-ups, etc.
- What audience are you targeting? Be specific about your intended audience.
If your event is open to the general public, include justification for including
this audience in your event.
- Describe the advertising/promotional plan and costs.
- What other funding possibilities have you researched?
- Describe any co-sponsor involvement and the extent of their financial support
and other responsibilities regarding the event.
- What goal(s) do you hope to accomplish by having this program/event/service
on campus?
- How does this meet the ASUW Mission Statement (Preamble)? What is the benefit
for the student body at large?
- Will the speaker/performer be appearing at any events in the greater Seattle
area other than those sponsored by ASUW?
Please Note: Your proposal and budget may vary in complexity
and format depending on the type of event you are planning and the timeline
available to you and your adviser.
Your adviser will help with event
planning and also help with your proposal and presentation to F&B. Be
prepared to meet with your SAO Adviser to develop your proposal and budget request.
