University of Washington Residence Halls (Dorms)
UW Conferences Services is now accepting reservations to stay in the UW Residence Halls (dorms) for SISMID 2012 attendees on a space-available basis only. Please read all of the information about staying in the UW Residence Halls thoroughly to make sure you understand their policies and to make an informative decision about your lodging needs.

Package Description
Campus accommodations will be available on a nightly rate for SISMID 2012 attendees. There is no credit for shorter stays than what was reserved and reservations are nontransferable. Advance reservations are required at least three (3) business days prior to the start of the event. Reservations by walk-in attendees will not be accepted.

If you select a Double room, you MUST indicate a roommate preference, and mutual requests will be honored. If you select a double room and do not designate a roommate, you will be assigned and charged as a single. Last-minute changes in occupancy status will not be accepted.

Accommodations
SISMID 2012 attendees will reside in double- or single-occupancy rooms, and all rooms are furnished with twin-size beds, bedding, towels, a small fan, soap and drinking cups. Residence halls are not air conditioned. Hard wire Ethernet access is available in sleeping rooms for those who bring their computers (Ethernet cord required). SISMID 2012 Attendees share community bath facilities, and occasionally the appropriate bath facility will be located one floor above or below your room. Microwave ovens, laundry facilities, television lounges and other gathering areas are conveniently located in each residence hall. There are no kitchen facilities. SISMID 2012 Attendees may deposit funds into their conference card laundry account at the Conference Desk. Telephones providing SISMID 2012 attendees with free local service are conveniently located in the common area or lounge on each residential floor. Residence halls are designed for adult usage, and facilities are not childproof. Adults are responsible for the supervision of their children at all times. With the exception of specifically designated areas, smoking on University of Washington property is prohibited including in sleeping rooms. The University of Washington is a pedestrian campus, and the residence halls are within a 15- to 20-minute walk of most meeting facilities on campus.

Check-In

  • As a courtesy to SISMID 2012 attendees, a check-in table will be available at SISG Check-In, located in the South Campus Center, from 11:45 AM (1145) - 1:45 PM (1345) on Monday, July 9, 2012 only.
  • The Conference Desk, located at McMahon Hall, will offer 24-hour check-in service; SISMID 2012 attendees will be able to check in at any time on any day.
Payment
  • Reservations will not be processed unless full payment is received with the reservation. Advance payment must be made in U.S. dollars by check or Visa/MasterCard.
  • Reservations paid by check must be mailed. Checks must be drawn on a United States bank account, made payable to the University of Washington, and mailed with the printed reservation form. The University of Washington charges $25.00 for all returned checks.
  • Reservations paid by Visa/MasterCard will be submitted online. Your online reservation authorizes the University of Washington to charge your credit card for costs incurred once you have completed the online reservation process. Additional charges can be, but are not limited to, those such as additional nights of lodging, dining, parking, damages or unreturned keys.
  • The University of Washington reserves the legal right for recovery of reasonable attorney fees, court costs and other reasonable collection costs, including payment of collection agency fees.
Cancellation and Refunds: All refund requests and reservation changes resulting in a refund will include a $20.00 (plus applicable tax) refund processing fee.
  • If the cancellation is received by the Conference Services Office on or before Friday, June 15, 2012, the prepayment less the Refund Processing Fee (plus applicable tax) will be refunded.
  • If the cancellation is received by the Conference Services Office after Friday, June 15, 2012 but before the scheduled arrival date, the prepayment less the Refund Processing Fee, the Late Reservation Fee (if applicable) and the cost of one night’s lodging (plus applicable tax) will be retained and the balance refunded.
  • If no advance cancellation is received by the Conference Services Office and you do not check-in, no refund will be issued.

Confirmation
Once your reservation and full payment have been processed, you will be sent an email confirmation with your check-in location, travel directions to campus and additional information. SIDMID 2012 attendees may check-in any time after 2:00 PM (1400) and must check-out by 11:00 AM (1100) unless the confirmation states otherwise.

About Riding the Link Light Rail: The Link Light Rail (Central Link) travels between Seatac Airport and downtown Seattle. It does not travel to the University of Washington. If you want to ride the Link Light Rail (Central Link), then you should plan to transfer to a bus while in downtown Seattle (via the bus tunnel) to continue on to the UW. The University Link will open in 2016.
