Preparing and Mounting Your Poster

Because we are meeting in the HUB Ballroom, we do not have wall space for mounting posters. We will provide easels, and we will ask you to provide a solid backing so that your poster can be mounted on the easel.

If your department does not have something readily available for mounting a poster, you can print your poster on foam core, or you can bring a piece of foam core or cardboard and pin the poster to it.

Poster Size

In previous years, we have had a variety of poster sizes. However, please remember that you need to provide your own solid backing for the poster, so you should plan your poster size based on the size of the cardboard or foam core that you will use for mounting the poster. In previous years, posters have ranged in size from 3'x4' to 4'x6' (larger posters can be difficult to balance on an easel effectively).

 

Presenting Your Poster

The Symposium will begin at 2:30, and we would like to have posters set up by 2:00. This will give us the opportunity to have a "Reception for Presenters" before the keynote address. Presenters in previous years have told us that they had little opportunity to interact with fellow presenters once other people arrive and start visiting the posters. The HUB Ballroom is available to us beginning at 1:30.

The Symposium will open with a keynote address by Mary Pat Wenderoth, UW Department of Biology, starting at 2:30 p.m. Concurrent poster sessions are scheduled to begin after Mary Pat's presentation (approximately 3:20). Half the presenters will be asked to be at their posters from approximately 3:30 to 4:00, and the other half will be asked to be at their posters from 4:00 to 4:30. During the time that you are not at your own poster, you are welcome to browse other posters and interact with other presenters.

Please be prepared to give people a summary of your work in 3-5 minutes. Poster Sessions are intended to present a summary of your work and prompt further discussion, and we are expecting that you will have an opportunity for many interactions with interested faculty and TAs who visit the Symposium.

You or a co-presenter should be available to remain with your Poster during the Symposium. If you leave your poster briefly to view another poster or talk with other presenters, please check back at your poster frequently to see if there are people there who are waiting to talk with you about your work.

 

Handouts

Each presenter is encouraged to provide a handout to go along with your poster. This handout should provide your session title and contact information so that people can easily contact you after the Symposium. You may also want to add the session description that you wrote for your proposal, or other information and resources that you would like to use to illustrate your session.

We are not sure how many visitors to the Symposium to expect, but based on last year's attendance, we recommend that you bring 25 copies of your handout. Handouts can also be archived at the Symposium web site if you provide us with an electronic copy.

 

Promoting the Symposium

Announcements about the Symposium have been distributed through a number of UW email lists. It is also one of the banners featured on the UW Seattle UWIN page.

Even with these email announcements and invitations going out, we think that others in the UW community are much more likely to visit the Symposium if they have a personal invitation from a colleague, so please extend invitations to others in your department who might be interested in attending:
