Spanish and Portuguese Studies functions

  • Researches, recommends, and handles purchasing and setup of desktops, laptops and peripherals such as printers, scanners and projectors. 
  • Arranges for hardware maintenance, and schedules and performs software upgrades for faculty, staff and TA workstations. 
  • Remains on call through the workday for hardware and software problems; contacted through email and phone. 
  • Maintains insurance and inventory lists of the department’s technology equipment. 
  • Manages Windows 2000 fileserver accounts. 
  • Acquires hardware and software with Student Tech Fee funds for the Romance Computing Lab in Padelford Hall and manages the computer lab.  
  • Consults with campus-wide computing organizations and informs faculty, staff and TAs on UW technology policy, software licenses, and opportunities for software purchases.
  • Maintains contact with the College of Arts & Sciences technology staff for opportunities for grants and transfer of hardware. 
  • Develops training for scanning software and Catalyst tools. 
  • Advises faculty and students on personal hardware purchases.

  • Help manage the division's finances, including state funds, endowment funds, self-sustaining funds, and grant funds.  Help develop and monitor budgets, including income and expenditures.
  • Help with human resources, including supervising two staff positions and helping to facilitate hiring, reclassifications, support, and separation of other staff, faculty, and graduate student employees.  Delegate the use of UW systems to other employees.
  • Consult with division chair and other faculty and staff regarding State, UW, and division policies and procedures.
  • Help with space planning, reporting, and upkeep.

  • Manage the division's main office.

Spanish and Portuguese Studies functions

  • Coordinate and prepare materials for department's participation in the annual Study Abroad Fair.
  • Handle all administrative duties connected to the department's two programs in León, Spain except Winter Quarter registration.
  • With faculty, create a schedule of the courses to be offered during the Academic Year and Summer Quarter.
  • Submit the quarterly Time Schedule according to the calendar established by the Time Schedule Office.
  • Make changes to course days/times after the time schedule has been created.
  • Make all changes to faculty teaching schedule on the Time Schedule.
  • Place students in internships.
  • Register students in SPAN 392 and follow students to assure they turn in the required work.
  • Speak with internship locations to ensure students have satisfactorily met the time requirement.
  • For Service Learning, make sure students who aren't in a 3xx language course turned in the required academic components.
  • Work with faculty to assign Service Learning students to 300-level language instructors.
  • Serve on the Humanities Shared Services Website Committee.

Administrative  functions

  • Update calendars: Events, Equipment Check out.
  • Update SPS website.
  • Request Student Evaluation Forms.
  • Take the minutes for both faculty and graduate studies committee meetings.
  • Purchase  office supplies.
  • Prepare cash transmittals.
  • Receive checks from students  for the Cádiz Program.
  • Schedule appointments for Academic Adviser and Department Chair.
  • Schedule rooms for events, meetings, tertulias and bate-papos, DELE and final exams.
  • Be the liaison between instructors and room assignments.
  • Fill out Credit Evaluation Forms for 100- and 200-level Spanish and Portuguese study abroad credits.
  • Answer the Main Office phone and field inquiries about the program.

Advising Functions

  • Answer students e-mails on to topics related to 100- and 200-level Spanish and Portuguese, registration and study abroad programs.
  • Put add code restrictions on the fourth day of the quarter on all 100/200-level classes.
  • Include EOP students in classes.
  • Help repeating students register after the third day of the class, if there is available space.
  • Include graduate overloads on the 4th day of the quarter, if previously authorized by instructors.
  • Give add codes to non-matriculated students on the fourth day of the quarter, if there is an opening.
  • Give add codes to Acess students on the fourth day of the quarter, if previously authorized by instructor.
  • Help students register while they are taking other classes in a community college during registration period 1 and 2.
  • Assist students in having 1xx or 2xx courses from previous colleges evaluated.
  • Advise students in registering to the best suited study abroad programs – and evaluate how the classes students plan to take will transfer back to the UW.
  • Evaluate study abroad credits.
  • Assist solving conflicts between instructors and students.
