Incoming MTAs

Incoming Material Transfer Agreements (MTAs) usually require an authorized signature from the UW as well as a signature from the UW Principal Investigator (PI) receiving the material indicating that the UW PI has read and understood the terms of the MTA. UW TechTransfer has signature authority for these types of MTAs. UW researchers, including UW PIs, cannot sign MTAs as authorized signatories of UW.  The terms of the MTA may need to be negotiated in order to comply with UW policy, Washington state law, federal law, funding obligations such as NIH obligations, and any other obligations under MTAs with other parties.

Step for UW Researchers

  1. Before signing an MTA, review it to ensure the terms are satisfactory.

  2. If you require an authorized signature, please a) fill out the MTA Questionnaire (PDF/ Word), b) have it signed by the UW PI (if the UW researcher is not also the UW PI), and c) submit it to the Agreements Group along with your MTA. The MTA Questionnaire and MTA can be sent by email (mta-group@u.washington.edu), fax (206-685-4767), or campus mail (Box 354990).  An electronic version of the MTA is preferred.  Be sure to include the description and proposed use of the material, as well as the contact information for the provider.

  3. The UW researcher is responsible for arranging the physical shipping of the material with the provider.

Steps for Agreements Group

  1. The Agreements Group will contact the UW PI once it receives the MTA Questionnaire and MTA, and will provide an estimated turnaround time. Please note that the turnaround time can vary from days to weeks depending upon the MTA. The Agreements Group may also contact the UW PI to request any additional information that might be needed to process the MTA.

  2. The Agreements Group will only review MTAs from UW PIs that include the description and proposed use of the material, as well as a completed MTA Questionnaire. The Agreements Group will review MTAs in the order in which they are received.

  3. If the MTA is acceptable, the Agreements Group will sign and send the MTA to the UW PI for his or her “read and understood” signature. Once fully signed, UW TechTransfer retains an original of the MTA, and sends a copy to the UW PI. The provider retains the other original of the MTA.

  4. If the MTA is not acceptable, the Agreements Group will negotiate with the provider of the material.  When agreement has been reached, the Agreements Group will follow the steps for signature in #3.
