2008 Step-by-Step Guide for Program Contacts

Managing and Submitting Students' TRIO Quest Activities

TRIO ThinkQuest

1. The Captain of the team submits the web site for competition
2. If the Captain doesn’t submit the site, the Program Contact can do so by logging in as the Captain (need his/her email and password)
3. Follow the instructions under Step-by-Step Guide for Students Submitting a TTQ activity


PhotoEssay

Staff Upload Option: Register and Assign a Student a PhotoEssay (this is for students who are not registered with http://www.etrio.org/)

1. Program Contact logs-in with full email and password to http://www.etrio.org
2. Select “My Activities”
3. Select “PhotoEssay”
4. Select “Begin a New PhotoEssay" (if student hasn’t uploaded a PhotoEssay to http://www.etrio.org/)
5. Browse to the PhotoEssay on your computer and Upload
6. View the document to see if it’s correct
7. Enter the “Title”
8. Enter the “Category”
9. Save
10. Select “Back to Activity Page
11. Select “Register and Assign to Student” and “Ok”
12. For those with Multiple Programs, choose the correct program from the drop-down box
13. Enter student’s First and Last Name
14. Enter student’s email and confirm (this must be a real email account – you may need to create one in Yahoo, hotmail, etc)
15. Select Grade-level as of 4/1/2008
16. Submit
17. Program Contact will see a confirmation: “The PE has been successfully submitted and can no longer be edited”
18. Select “Back to Activity Page” and follow steps 4-17 as many times as needed to upload, register, and assign PhotoEssays to students.

To Assign a PhotoEssay to a Student who has uploaded but not submitted it to the competition (it is still “open” for submission)

1. Program Contact logs-in with full email and password to http://www.etrio.org/
2. Select “My Activities”
3. Select “PhotoEssay”
4. Select “Assign to Student” next to the “open” essay that needs submitting
5. View document to see if correct
6. Choose the correct student from the drop-down box
7. Save
8. Program Contact receives a confirmation that the essay has been successfully assigned
9. Select “Back to Activity Page”
10. Under “Assigned PhotoEssays” you can view all assigned essays by clicking the link in the sentence to “programs”
11. Select the name of your program
12. Select “PhotoEssay”
13. Now you can see all titles, students, and the status of each essay for that program
14. If desired, you can check the Top 3 essays that you want to be judged – click the box next to the essay under Top 3 PhotoEssays
15. Submit Top Three Essays
16. You will see all submitted essays listed
17. Check the box that assures the essays are appropriate, original, and cited
18. Submit
19. You are directed back to the PhotoEssay page – if you make a mistake or want to change the Top 3 PhotoEssays, you can choose a different essay and submit again up until the deadline.

To Submit the Top Three PhotoEssays for all essays that are not “open” (if an essay is still open, follow the steps above

To Assign a PhotoEssay to a Student who has uploaded but not submitted it)

1. Program Contact logs-in with full email and password at http://www.etrio.org/
2. Selects “My Program”
3. Selects the name of the program
4. Selects “PhotoEssay”
5. Clicks the boxes at the right of each essay intended for judging (each program can select 3 essays)
6. Submit
7. Check the box that assures the PhotoEssays are appropriate, original, and cited
8. Submit
9. You are directed back to the PhotoEssay page – if you make a mistake or want to change the Top 3 PhotoEssays, you can choose a different essay and submit again up until the deadline.


MediaQuest

Staff Upload Option: Register and Assign a Student a MediaQuest (this is for students who are not registered with www.etrio.org)
1. Program Contact logs-in with full email and password to http://www.etrio.org/
2. Select “My Activities”
3. Select “MediaQuest”
4. Select “Begin a New MediaQuest (if student hasn’t uploaded a MediaQuest to www.etrio.org)
5. Enter the “Title”
6. Enter the “Category”
7. Enter the “Length” of time (NOTE: a MQ activity cannot be more than 3 minutes)
8. Select whether it is an Audio or a Video activity
9. Enter Citation information (NOTE: Without citation, an activity cannot be judged)
10. Enter a description of the activity AND all the participants’ names (MQ can be individual or team)
11. Select whether you want to submit the activity at this time (NOTE if you select YES you will no longer be able to edit the activity)
12. Browse to the activity file and Upload the file
13. Select “Register and Assign to Student” and “Ok”
14. For those with Multiple Programs, choose the correct program from the drop-down box

To Assign a MediaQuest to a Student who has uploaded but not submitted it to the competition (it is still “open” for submission)
1. Program Contact logs-in with full email and password to http://www.etrio.org/
2. Select “My Activities”
3. Select “MediaQuest”
4. Select “Assign to Student” next to the “open” audio or video that needs submitting
5. Enter the “Title”
6. Enter the “Category”
7. Enter the “Length” of time (NOTE: a MQ activity cannot be more than 3 minutes)
8. Select whether it is an Audio or a Video activity
9. Enter Citation information (NOTE: Without citation, an activity cannot be judged)

17. Select the name of your program
18. Select “MediaQuest”
19. Now you can see all titles, students, and the status of each MQ for that program
20. If desired, you can check the Top 3 Media Quests that you want to be judged – click the box next to the MQ under Top 3 MediaQuest
21. Submit Top Three MediaQuest
22. You will see all submitted MediaQuests listed
23. Check the box that assures the activities are appropriate, original, and cited
24. Submit
25. You are directed back to the MediaQuest page – if you make a mistake or want to change the Top 3 MediaQuest s, you can choose a different MQ and submit again up until the deadline.

To Submit the Top Three MediaQuests for those that are not “open” (if a MQ is still open, follow the steps above To Assign a MediaQuest to a Student who has uploaded but not submitted it)

1. Program Contact logs-in with full email and password at http://www.etrio.org/
2. Select “My Program”
3. Select the name of the program
4. Select “Media Quest”
5. Click the boxes at the right of each MQ intended for judging (each program can select 3 MQs)
6. Submit
7. Check the box that assures the MediaQuests are appropriate, original, and cited
8. Submit
9. You are directed back to the MediaQuest page – if you make a mistake or want to change the Top 3 MediaQuests, you can choose a different essay and submit again up until the deadline.
