Q: What is the Clipboard and how should I use it?
A: Advance provides a “clipboard” that allows you to store lists of ID’s that you want to keep track of. The most common use for the Clipboard is to track lists of Entity ID numbers for groups of people or organizations that do not fit well into a constituency group list. For Help topics on Clipboard use, open the Clipboard by clicking the Clipboard icon. Press F1 when it opens.
Uses for Clipboard Lists
- If you have update rights in Advance to Constituency Groups you can use “Mass Add” with a Clipboard list in order to quickly add all the list ID’s to a Constituency Group Code.
- If you don’t have update rights, you can still assemble a list of entities for ATS to apply with a Constituency Group Code.
- Use a Clipboard list if you need to keep track of a list of entities temporarily or where a Constituency Group Code is not necessary or advisable.
Q: What are the Advance keyboard shortcuts?
A: F1 – Context-sensitive Advance help; F2 – Context-sensitive lookup; F3 – Reload form with New ID; Shift+F3 – Toggle to spouse; F4 – Open Clipboard; Ctrl+F4 Close Advance; Shift+F4 – Lookups; F5 – GoTo; F6 – New; F7 – Refresh form; F8 – Save; F11 – Paste from Clipboard; F12 – Copy to Clipboard.
Q: Why doesn’t my text paste properly?
A: If you select and copy text from a “rich text” source such as a web page, Word document, or even a formatted email message, it contains not only the visible text characters, but also invisible electronic data that allows the characters to be displayed certain ways such as bold, indented, or with paragraph returns. The presence of that extra electronic formatting information can prevent a text box in Advance from allowing the characters to appear normal when pasted directly into it.
In order to strip the formatting, first paste the copied text into a plain text application such as Notepad. Then select and copy the Notepad text for pasting into Advance.
Q: What are the “TMS tables” I have heard of and how can I see them?
A: For data maintenance and lookup purposes, a set of tables called “TMS tables” is used to provide the applicable choices in each drop-down list, such as for Address Types, Mailing List codes, Employment Status and the like. In some cases, settings for the list choice can indicate how Advance should operate when a certain item is chosen.
To see the list of TMS tables and the choices available for each, click the GoTo button on the top tool bar, then enter “TMSC” (or “TMS Edit Code Table List”) in the Application field. Press Enter or click OK and the list of TMS tables will appear. Drill down into any one for the list of choices applicable to each.
Alternatively, use the ReportWriter.NET report called “TMS Search.”
