Confidentiality of Alumni/Donor Information

Learn how to responsibly use and protect the information we store about our constituents and their giving, and complete additional requirements for access to alumni/donor data.

Completion of this course is required for access to any alumni/donor data, including access to Advance and report data that is external to Advance.

Advance Fundamentals

AKA: Advance Basic Online, Basic Inquiry, Advance Basic Training, Alumni/Donor Basic Training

Learn how to search for entities and review alumni and donor information in Advance, including biographic and contact information, relationships and constituency groups, and giving history. This course also includes email maintenance, and an introduction to ReportWriter.NET and custom reporting requests.

Completion of this course (or Advance 1:1 Fundraiser Training, for front-line fundraisers) is strongly recommended for all Advance users, and is a pre-requisite for all other Advance training offerings.

Note:

To access Advance, you will also need an Entrust token, which can be requested from UWIT via this form. It is recommended to have your token while taking the course, so that you can log in and follow along.

Advance Fundamentals for Fundraisers

For frontline fundraisers and their support staff.

Learn how to search for entities and review alumni and donor information in Advance, including biographic and contact information, relationships and constituency groups, and giving history. This session also includes email maintenance, and an introduction to ReportWriter.NET and custom reporting requests.

Completion of this training (or Advance Fundamentals) is required in order to gain access to Advance.

Notes:

  • Advance Fundamentals for Fundraisers is for frontline fundraisers and support staff only; all other prospective Advance users should take Advance Fundamentals online.
  • Advance Fundamentals for Fundraisers is typically followed immediately by Advance PMATS.
  • Participants will also be enrolled in Advance Fundamentals online for ongoing review and reference.
  • To access Advance, you will also need an Entrust token, which can be requested from UWIT via this form.

Advance PMATS (Prospect Management and Tracking System)

For frontline fundraisers and their support staff.

Learn how to look up information about major gift prospects, manage your portfolio, file contact reports, and run prospect profiles and other prospect-related reports.  Learn about fundraiser performance expectations and the policy surrounding major donor solicitation at UW.

Completion of this training is required to gain permissions to the Prospect Management and Tracking System (PMATS) in Advance.

Note:

Advance PMATS is typically preceded by Advance Fundamentals for Fundraisers.

Advance Biographic Maintenance

Learn how to update entity records with new or revised contact information, relationships, employment status, etc.

Completion of this course is required to gain permissions to update records in Advance (with the exception of email addresses). If you do not have Biographic Maintenance permissions, you may submit update requests to updates@uw.edu or via HYDRA.

This course is a pre-requisite to the Advance Constituency Power Users classroom course.

Advance Constituency Groups Power Users

Learn to track groups of alumni, donors, and friends using Constituency Group codes. This course includes an overview of Constituency Group policy and the advantages of using Constituency Group codes, as well as an examination of purposes for various kinds of groups.

Completion of this course is required to gain permissions to update and maintain your own Constituency Groups, as well as to use the Mass Add bulk loading utility for adding long lists to a Constituency Group.
