In the fall of 2018, Hugo House moved into a new facility in the heart of the city, which has enabled dramatic growth in classes and event programming. One of the nation\u2019s leading community-based centers for the literary arts, Hugo House has a vision to open the literary world to anyone who loves books or has a drive to write. Hugo House offers year-round creative writing programming for adults and youth, including everything from single-day classes to year-long workshops, readings and events, open mic nights, and summer writing camps.<\/p>\n<p><strong>Position Overview:<\/strong><\/p>\n<p>Hugo House is looking for an Education Assistant &amp; Community Support Specialist to help in planning, coordinating, and ensuring the success of our creative writing programming for adults.\u00a0 The Education Assistant &amp; Community Support Specialist will also help run Hugo House\u2019s front desk, providing outstanding community support both in-person and virtually. The role will be a mixture of weekdays, evenings, and weekends for a total of 20 hours a week. This is an in-person position with some remote shift opportunities.<\/p>\n<p><strong>Responsibilities:<\/strong><\/p>\n<p><strong>Education Assistant<\/strong><\/p>\n<p>The Education Assistants will support Adult Education and HH programs as mapped out by Education Manager and Education Director, supporting our students and teachers and ensuring processes behind our classes are running smoothly. Education Assistants will assist on the following projects:<\/p>\n<p>\u00b7 Teacher appreciation: once per quarter, create teacher memberships and gift event tickets and\/or other small acts of gratitude<\/p>\n<p>\u00b7 Write-O-Rama: twice a year, organize teachers for this event<\/p>\n<p>\u00b7 Upload new Coaches and Consultants to our page<\/p>\n<p>\u00b7 Distribute, collect, and record course evaluations<\/p>\n<p>\u00b7 Approve teacher invoices for payment (weekly basis)<\/p>\n<p>\u00b7 Review teacher invoicing (quarterly basis)<\/p>\n<p>\u00b7 Process teacher memberships after each quarter<\/p>\n<p>\u00b7 Contact new instructors before first class with welcome and tips<\/p>\n<p>\u00b7 Provide tech for online classes (both Zoom &amp; Wet Ink) as needed<\/p>\n<p>\u00b7 Update weekly class reports<\/p>\n<p>\u00b7 Conduct data analysis as needed<\/p>\n<p>\u00b7 Support on registrar &amp; scheduling duties as needed<\/p>\n<p>\u00b7 Manage Zoom &amp; Wet Ink accounts<\/p>\n<p>\u00b7 Proofread class catalog in print and in CRM<\/p>\n<p><strong>Community Support Services<\/strong><\/p>\n<p>The Community Support Specialist will provide excellent customer service to students, teachers, members, and all House visitors; assist with event and class production, as well as administrative needs; and maintain Hugo House\u2019s COVID safety measures and ensure visitor comfort.<\/p>\n<p>\u00b7 Complete 3-5 shifts a week at Hugo House\u2019s front desk.<\/p>\n<p>\u00b7 Greet visitors and speak to the mission and resources of Hugo House.<\/p>\n<p>\u00b7 Answer phones and conduct customer service requests via phone, email, and in-person interactions.<\/p>\n<p>\u00b7 Maintain building security and appearance, including daily opening and closing of Hugo House.<\/p>\n<p>\u00b7 Set up classroom technology and provide tech assistance for teachers and students as needed.<\/p>\n<p>\u00b7 Liase with registrar, operations team, and other team members to complete daily tasks.<\/p>\n<p>\u00b7 Serve as office contact for those working from home.<\/p>\n<p>\u00b7 Record information from eNews sign-up list in CRM<\/p>\n<p><strong>Position Qualifications:<\/strong><\/p>\n<ul>\n<li>Experience in customer service.<\/li>\n<li>Experience in planning and coordinating programs or events.<\/li>\n<li>Familiarity with continuing education a plus.<\/li>\n<li>Self-directed working style.<\/li>\n<li>Comfortable working with the public.<\/li>\n<li>Comfort in Microsoft Office.<\/li>\n<li>Familiarity with CRMs (ex. SalesForce, Civi) and data analysis a plus.<\/li>\n<li>Adaptability, creativity, and innovative thinking.<\/li>\n<li>Capacity to work effectively with highly collaborative staff.<\/li>\n<li>Outstanding written and oral communication skills.<\/li>\n<li>Share Hugo House\u2019s commitment to building an antiracist organization.<\/li>\n<\/ul>\n<p><strong>Job Conditions:<\/strong><\/p>\n<p>This position must be conducted in-person, requires expertise with computers.<\/p>\n<p><em>We encourage applications from BIPOC (Black, Indigenous, and people of color) and other people underrepresented in literary arts administration.
