Equipment Rentals


Instructional Support offers audio-visual equipment, which includes laptops, computer projectors, slide advancers, laser pointers, and much more, in addition to table and chair rentals for groups meeting in Health Sciences Building, WH Foege Genome Sciences Building, South Campus Center, and UW Medical Center.

  • If you need AV equipment on Upper or Southwest Campus, please contact Classroom Technology and Events at 206-543-9900.

Charges for University Courses

  • University courses are not charged equipment fees.
  • University courses are subject to labor and special event container service fees.

Equipment Use on a WILL CALL or DELIVERY Basis

Equipment rentals are charged on a per day basis. A “day’s use” is defined as any time during 8am-5pm of check-out day to 5pm of the next business day. Each additional day is at the full rate.

Extension on Rental and Overdue Equipment

Requests to extend a rental reservation must be completed before the end of the original rental period. Each day equipment is overdue, a full rate will be added to the reservation.

Cancellation Policy

  • No fee for events canceled 31+ days prior to the event date.
  • Events cancelled within 8-31 days prior to the event date will incur a 50% charge.
  • Events cancelled within 0-7 days prior to the event date will incur a 100% charge.
  • There is a 2 day grace period to cancel with no cancellation charge; after these 2 days, the cancellation policy will apply.
  • Extenuating circumstances will be evaluated on a case-by-case basis.

After-hours Labor

Monday through Friday before 8am and after 5pm, after-hours labor rates apply. All labor on Saturdays, Sundays, and holidays is charged at the after-hours rate.
