Q: How can I get an account to access Advance?
A: Advance is available to all who need to use alumni-donor data from the system directly to accomplish their official UW work. Read about the requirements to access Advance here.
Q: Why won’t my Advance login work?
A: After one year without being used, Advance accounts automatically expire. To keep your account active, log into Advance at least once per 365 day period.
Q: What am I required to do in order to maintain confidentiality of alumni-donor information?
A: The Confidentiality of Alumni/Donor Information course provides information on this topic and is required for access to Advance.
Q: How do I log in?
A: The Advance home page contains links to log in. Use your UW NetID and its password along with the unique number generated by your Entrust token.
Q: Help! I forgot my Advance password!
A: Advance uses your UW NetID credential to log in, which is supported by UWIT. To get your password reset phone 1-5000 and be prepared to prove your identity to the operator with your EID and other information known only to you. (Although UW NetID allows a password longer than 12 characters, Advance requires a password between 8-12 characters.)
Students & Temps
Q: How can I get my student worker or temporary staff an Advance account?
A: Students and temporary workers have the same confidentiality obligations and access rights as regular full time staff. They sign up for training and sign the confidentiality agreement in the very same way as full time staff.
Q: What’s a “token?”
A: Advance and ReportWriter.NET (as well as several other UW central administrative applications) require the use of a token as an increased data security measure. This device is issued to system users by UWIT. It looks like this. Please procure one if possible prior to your first Advance training.
If your token gets out of sync with the UWIT servers, visit this site to resync your Entrust Token: https://uwnetid.washington.edu/manage/?password. Generate a token number and place it in the field under Synchronize Token. Then hit the Sync button. You should get a green message which states: “Token synchronization successful”. Close out your browser completely, then reopen a browser and try logging into Advance. If your token will not successfully sync, please contact UW-IT at 1-5000. They can attempt to sync your token over the phone, or replace your token.
Volunteer & Vendor Access
Q: How can I give my philanthropy volunteer access to alumni and donor lists? … and …
A: For the purpose of furthering University Advancement activities, alumni and donor volunteers may be given limited contact lists. Volunteers and their Advancement staff should sign the Alumni/Donor Database Access Form prior to being given the information. Fax it to Advancement Services at 5-8911 for filing.
Q: How can I send alumni/donor data to a vendor for screening or data updates?
A: Advancement technical support staff sometimes make agreements with outside vendors to temporarily take possession of UA data for the purposes of enhancing the completeness and accuracy of that data. Vendor representatives sign and are responsible for abiding by the confidentiality agreement in the Alumni/Donor Database Access Form.
