Q:  How can I make sure that my PC’s printer IP connection is configured properly?
A:  Once your PC’s printer IP connection has been established, verify and update the printer trays and duplexer if applicable.

  1. Start > Printers > Right-click the printer to configure > Properties.
  2. Either “Device Settings” or “Configuration” tab:
    Tray 1: Define paper size.
    Tray 2: Define paper size.
    Complete for all paper trays.
    Duplex Unit: Choose installed if applicable (almost all of our printers have duplex units.)
  3. OK.

Q:  How can I connect my Nebula Mac to a networked copier/printer?
A:  There are four networked copiers in Alumni Commons, located one on each floor.  They perform a number of network printing and scanning tasks as well as copying.  They are (Name, Location and IP Address):  WORKCENTRE1, S1, 172.21.239.17; Ricoh Aficio 3351, S2, IP_s2mp5000.gifts.washington.edu; WORKCENTRE3, S3, 172.21.241.42 and WORKCENTRE4, S4, 172.21.242.42.

To connect your Mac to one of these Xerox WorkCentre 5135 copier/printers, follow these instructions.

Install the Driver:

  1. Accept the end user license agreement, and then download and save the WorkCentre 5135 Mac OSX driver from the Xerox web site.
  2. Run the application installation when the file has downloaded.

Configure the Printer Connection (from this Xerox procedure page):

  1. Click on the [Apple] menu, and then select [System Preferences]. The System Preferences window will be displayed.
  2. Click on [Print and Fax].
  3. Click on the plus [Lock] icon in the lower left corner.
  4. Enter your username and password in the fields provided, and then click on [OK].
  5. Click on [+] to add a new printer.
  6. Click on the [IP] icon at the top of the window.
  7. Select [Line Printer Daemon- LPD] from the Protocol menu.
  8. Enter the printer IP address of the printer in the Address field.
  9. Enter: “1p” in the Queue field.
  10. Select [Select a driver to use…] from the Print Using menu.
  11. Select the required printer model from the list, and then click on [Add].
  12. Select the installable options for your printer. For example, select the number of paper trays installed on the printer, the type of Finisher installed, the type of Hole-punch Unit installed, and if LANfax is installed.
  13. Click on [Continue].
  14. Click on the [Lock] icon again to prevent changes.
  15. Close the window.

Configure the Accounting Code into the Default Connection Properties

  1. In the application that you want to print from, e.g., word, excel, Firefox, click [File] on the top menu bar, then select [Print].
  2. The top drop down box allows you to select your printer.  Choose the Xerox machine you have installed.
  3. You may have to click the box to the right of the drop down menu to ensure the arrow is pointing up, not down.  This arrow must be pointing up to see the rest of the options we must configure.
  4. From the new drop down menu that appears, select [Xerox Features].
  5. You will see another new drop down menu appear. Select [Advanced].
  6. Additional options appear now.  Towards the bottom, click [Accounting] next to Configuration.
  7. A new window will open with a drop down box.  From those options, select [Xerox Standard Accounting or Auditron].
  8. A couple more options will appear and should be filled out as follows.  Select [Always Prompt] from the drop down menu next to Accounting Prompt.  Ensure the check boxes next to Mask User ID (****) and Mask Account ID (****) are checked.  Click [OK].
  9. You will now be back in the original print window.  Select [Save As...] from the Presets dropdown menu.
  10. Type in Xerox for the Preset Name and click [OK]
  11. Now click [Print].
  12. A window will appear prompting for your User ID.  Fill in your accounting code and click [OK].

Clicking print will allow you to verify that the printer connection and ID acceptance are working.  You will have these options available to you for future print jobs without having to reconfigure them.

Q:  How can I connect my Nebula PC to a networked copier/printer?
A:  Follow this procedure for Windows 7:

1.  In the list at the bottom of this page, locate the name of the printer you would like to connect to.  Right-click it and select “Copy Link Location” or “Copy Shortcut.”
2.  Open Start > Run.

3.  In the Run command field, paste the copied link location, such as below and click OK:

4.   The copier connection will run in a black command box and let you know when it has finished.  When it has finished, continue with this procedure to configure WorkCentre_1, 3, or 4.  Link to Ricoh Aficio 3551 Installation Instructions for the 2nd floor copier configuration.
5.  Right-click the printer in your printer list and select Printer properties.
6.  Select the Configuration tab.
7.  Click the Accounting… button.

8.  Change Accounting System from “None” to “Xerox Standard Accounting or Auditron” in the pull-down menu.
9.  Under Accounting Prompt, select “Always Prompt.”
10.  Check “Mask User ID (***)” [Suggested]
11.  Check “Mask Account ID (***)” [Suggested]
12.  Check “Remember Last Entered Codes (***)” [Suggested]
13.  Click “OK” for all property windows.

When printing to the Xerox Workcentre:

  1. Submit you print job to the Xerox copier.
  2. The Accounting pop-up window will appear.
  3. Enter your User ID number. [This is the same code that you use to make copies]
  4. Ensure that the Account Type pull-down menu is set to “Default Group Account.”
  5. Click “OK” to allow the print job to be sent.

Q:  How can I connect my Nebula Mac to a networked printer?
A:  

  1. Obtain the IP address of the printer or departmental copier you would like to connect to.  If it is not labeled on the printer itself, ATS Help (advhelp@uw.edu or 1-3947) can provide one.
  2. System Preferences > Print & Fax > Printing > “+”
    Protocol:  HP JetDirect – Socket
    Address:  [IP address, i.e., 123.45.678.1]
    Queue:  Leave blank
    Name:  Enter nickname of printer such as “Marge” or “Travel”
    Location:  Building and workstation number
    Print Using:  Accept default
  3. Click Add button.

Q:  What should I do if my printer needs maintenance?
A:  Printer Support Model

ATS Support for High Volume Printers  ATS provides support for these central high volume printers at no charge to your unit.  We will get the printer cleaned if print quality suffers, have parts replaced when needed, or provide troubleshooting of additional issues and provide for a solution.  Finally, we will also replace these printers at the end of their cost-effective lifespan out of our ATS budget.  For service on a high volume shared printer, email advhelp@uw.edu.

Unit Support for Desktop Printers  Individual users are responsible for requesting printer support and maintenance for non-high volume printers placed on individual desktops.  Maintenance and troubleshooting is available through UW’s CMG (Computer Maintenance Group) with a budget number provided by your unit.

Q:  What networked printers are available for me to use?
A:  Each unit has a selection of printers that are available for you to print to.  Because the printers and locations may change over time, please refer to someone knowledgeable in your unit for a recommendation as to which printer or printers will best fit your needs and location.

When you locate the printer you want to connect to, PC users should make note of the printer name (such as SCRATCHY) and Mac users should make note of the IP Address (such as 172.21.241.9) which is printed on a label on the front of the printer.  It will look like this:

If you do not see a label like this on the front of your networked printer, please let us know so that we can apply one for your convenience.  (We don’t apply these labels to locally connected printers.)
