Financial Services

Q: Purchase Items?

A: For most customers using PurchasePath, the process is relatively the same except in addition to being able to check PurchasePath for the status of the order, you will now receive real-time email updates as your item is procured through the CSS process.

  1. Enter your request and get your Unit approval in PurchasePath. Customers should still continue to enter their PurchasePath orders and submit them for their Unit administrative or finance team approval.
  2. Receive email updates about your request. The CSS will purchase items after receiving authorization from your Unit’s authorized official in PurchasePath.  This includes consulting with you on best methods for procuring items, entering and submitting orders through ARIBA, or placing orders on the Center’s ProCard. During this process, you will receive email updates about your request as well as see the status of the order in PurchasePath.
  3. Attach your packing slip or receipt to the PurchasePath request. This will enable us to reconcile your orders in a timely way.
  4. For reoccurring purchases or blanket purchase orders and buying on a UW contract, the CSS will work with you to establish the contract and period of performance as well as submit required information to UW procurement when necessary.

Q: Notify CSS of purchases made on my ProCard or internal purchases made on my budget number?

A: When you purchase items using your ProCard or budget number, the CSS will need the supporting documentation for reconciliation purposes. Customers should:

  1. Enter the order in PurchasePath following the same process as you would for entering other items.
  2. In the Notes field enter “DO NOT ORDER”
  3. When you select the “Submit order for purchase” select “I am logging this order, bypass department purchasing” option. This will bypass the CSS purchasing process, but flag the order for later reconciliation.
  4. Attach your receipt or confirmation of purchase to the PurchasePath request. This will enable us to reconcile your orders in a timely way.

Q: Get reimbursed for items I personally purchased?

A: For items that you have purchased in the course of doing business for the University of Washington, you should submit your request through PurchasePath for reimbursement.

  1. Enter your request and get your Unit approval in PurchasePath. Make sure to attach any required documentation to your request in PurchasePath.
  2. Receive email updates about your request as well as see the status of your request in PurchasePath. The CSS will enter the request in ARIBA and submit it to UW Procurement for reimbursement.

Q: Travel for business purposes?

A: Customers should contact the CSS for support with travel needs, including understanding the UW’s compliance requirements prior to traveling:

  1. The CSS will, in partnership with the UW Travel Office, consult with the traveler on current travel requirements and restrictions.
  2. Travelers should submit the CSS Travel form (TAF) for approval to their authorized Unit official for signatures. Once signatures have been obtained, travelers should submit their request to CSS. If out-of-state travel is requested, the CSS will work with the HSA finance team to obtain the required approvals.
  3. Once travel has been completed, the traveler should submit travel receipts and the travel form with post travel information filled in to CSS. The CSS will submit your reimbursement to the UW Travel Office for processing.

Q: Receive help on an IT issue I am having?

A: Customers experiencing desktop support issues should contact csshelp. The CSS IT team will:

  1. Work with you to understand the issue and troubleshoot until the issue has been resolved.
  2. Send you email updates about the status of your issue until the issue has been resolved.
  3. If the issue is not supported by our CSS IT team, we will make every effort to connect you with the appropriate team to help resolve your issue.

Administrative Services

Q: Hire people?

A: If you would like support with the recruiting or hiring process, CSS is here to help. You can contact us and we will walk through the process or you can complete the CSS New Hire form.

  1. Enter hiring information into the CSS New Hire form.
  2. Submit the form to csshelp. Once submitted our staff will consult with you on your specific needs and will handle all Workday and UWHires input and coordination.
  3. Upon request, we are happy to arrange travel, schedule interviews, book conference rooms and all other recruiting processes including reference checks and initiating background checks.
  4. Once a decision on the hire has been made, the CSS will manage the Workday and UWHires entry and disposition processes and the Unit can extend the offer to the candidate of choice.
  5. The CSS will consult with the hiring manager to initiate the onboarding process, including coordinating the HSA onboarding orientation, set-up of desktops and central system access and permissions.
