Before The Meeting: 1. Table fees are as outlined in the attached form. All reservations and payment must be received by 30 August 1999. Post-deadline requests will be accommodated on a space-available basis only. For late reservations involving a table(s), a late fee of $50.00 (total) will be assessed, in addition to the regular fees. 2. Registration for exhibitors will be included in the table fee as follows: the first table includes two complimentary registrations, each additional table includes one additional complimentary registration. So that we may provide your staff with badges, we ask that you complete registration forms for all staff members who will be attending the meeting. Registration forms for you and your staff will be mailed after we have received your table reservation. 3. You will be responsible for all shipping costs to and from the meeting. You must make any special arrangements for receiving any equipment, goods, displays, or other materials which will be sent, delivered, or brought into the Hotel. Failure to do this may result in deliveries being refused or materials being unavailable when required. Any materials being sent to the Hotel must be marked as follows: A. ADDRESS PACKAGE AS FOLLOWS: The Westin William Penn Attn: Receiving Department 530 William Penn Place Pittsburgh, PA 15219 Please pre-arrange deliveries to meeting room with Kerry Lyden (Your Westin Contact). She may be reached at (412) 553-5017. Delivery charges may apply if an excessive number of boxes need to be delivered. The Hotel does not accept any liability for equipment, goods, displays, or other materials which arrive or fail to arrive at the hotel. You are responsible for insuring your property for loss or damage. 4. If you are sending books for the combined book exhibit, please send your books to the hotel, and not to the History of Science Society office. 5. Please make sure that your materials do not arrive at the Hotel before Monday, 1 November 1999. 6. As the meeting approaches, special requests from exhibitors will become increasingly difficult to accomodate. If you have any special needs, please make us aware of these as early as possible. Please feel free to contact the HSS office with any questions or requests you may have. 7. If you intend to have advertising inserted into delegate pre-registration packets, the rate is $25 per 100. If you want to ensure that all delegates will get your insert, please have at least 600 copies sent to our Seattle office (see letterhead for address) by 8 October 1999. Please note that we will not ship extra copies of inserts back to you after the meeting. At the Meeting: 8. Set-up will take place Thursday, 4 November, between 1:00 pm and 7:00 pm. Like last year, the exhibit set-up will be simple. We will not be providing signage or booths. As in years past, you will be supplied with draped, 3x6-foot tables. If you need risers, easels, or other display equipment, please plan to bring these items with you. 9. The book exhibit will be open to the public at the following times: 5 November (Friday), 8:00 am to 5:00 pm 6 November (Saturday), 8:00 am to 5:00 pm 7 November (Sunday), 8:00 am to 12:00 pm 10.The exhibit area will be locked at all times other than those mentioned above. During the hours of the exhibit, access to the area will be granted to all conference attendees, irrespective of their membership in the History of Science Society. 11. Breakdown will begin Sunday at noon. If you need to make special arrangements, please contact the HSS office. Neither the History of Science Society, nor the book display coordinator can take responsibility for the packing or shipping of books left in the display area. Books and materials for the combined exhibit will not be returned under any circumstances.
