4Culture is an independent public agency, chartered under state law and King County ordinance in January 2003, after 35 years as the King County Office of Cultural Resources. About the Role
4Culture is hiring an experienced Receptionist. The primary job of the Receptionist is to provide a welcoming, efficient, and secure office and exhibition environment as well as to provide essential administrative support to 4Culture. This position reports to the Director of Operations.
You will be most successful in this position if:

- You have a strong interest in arts, local heritage, historic preservation, science and technology.
- Familiar and interested in Seattle’s Pioneer Square neighborhood and King County.

- Written and oral communications, including a comfort with public speaking.
Have the ability to:
- Handle confidential and time sensitive materials.
- Organize meetings and/or trainings related to 4Culture office procedures.
- Manage several complex projects simultaneously, often in a fast-paced environment.
- Navigate challenging social interactions with the public.
- Remain calm in urgent or emergency situations.
Supervisory responsibilities:
This position has no supervisory responsibilities.
Job Responsibilities:
- Provides office and gallery reception during business hours (Monday-Friday, 9:00 am-5:00 pm), including front desk and phone inquiries, ensuring all guests are warmly welcomed to 4Culture during their visit.
- Consistent daily tasks within the Salesforce database, including creating and maintaining accounts and contacts.
- Provides a high level of customer service by promptly and accurately responding to inquiries and directing visitors to the office, notifying appropriate staff of visitor arrival.
- Maintains safe and clean reception area
- Acts as a facility safety point person by determining whom to allow entry, monitoring potential situations in the public space, engaging in safety protocols as needed, and serving as a point of contact in facility emergencies.
- Monitors general voicemail and ensures messages are responded to in a timely manner and/or routed to appropriate parties.
- Manages multiple email accounts and methods of internal/external communications.
- Assists with building maintenance scheduling including janitorial and maintenance contractors.
- Receives mail in and out of office, including signing for and distributing packages as well as delivering mail to appropriate departments.
- Monitors visitors to Gallery 4Culture and exhibition spaces.
- Supports staff needs by ordering and receiving office supplies for both offices. Frequently moving supplies and/or equipment of various sizes and weight between two offices across the street from one another.
- Works with Director of Operations and staff to improve procedures and processes by contributing ideas and troubleshooting issues as they arise; proactively seeks out solutions and brings ideas for improvements.
- Coordinates administrative aspects of preserving public records related to the position.
- Coordinate file management and transferring relevant records to King County archives.
- Support Gallery Manager and monthly art exhibits with small daily maintenance tasks.

Minimum Qualifications:
We are looking for candidates that can demonstrate they have the skills listed above through a combination of their work, education, and life experience as demonstrated in their resume, and cover letter.
- High School diploma (or equivalent) and two or more years of related professional administrative experience; OR candidates that can demonstrate they have the skills listed above through a combination of their work, education, and life experience as demonstrated in their resume and cover letter.
- Experience working with social services organizations.
- The most successful applicants will also have experience working for non-profit organizations or governmental agencies.
- Ability to be in the office daily.
Work Environment
- Position works a 37.5 hour work week, Monday-Friday.
- This position will be onsite 4Culture at 101 Prefontaine Pl S, Seattle, WA
- Occasional early morning, evening and/or weekend hours may be required.
