SUMMARY OF POSITION

4Culture is hiring an experienced Receptionist. The primary job of the Receptionist is to provide a welcoming, efficient, and secure office and exhibition environment as well as to provide essential administrative support to 4Culture. This position reports to the Director of Operations.

As the cultural funding and services agency for King County, Washington, 4Culture works to make the region vibrant. The organization’s four program areas—Arts, Heritage, Historic Preservation, and Public Art—put public resources to use all over King County. The Board, Executive Director, staff, and Advisory Committees are committed to addressing racial, geographic, and income-related funding inequities and creating an environment in which all King County residents participate actively in cultural opportunities. For these reasons, 4Culture has worked with experienced consultants to inform organizational change as well as designed new policies, practices, and systems to embrace, integrate, and model racial equity and social justice.

4Culture is an independent public agency, chartered under state law and King County ordinance in January 2003, after 35 years as the King County Office of Cultural Resources. The ideal candidate for this position champions public support for arts and culture and has demonstrated commitment to and experience advancing racial equity and social justice.

PRIMARY JOB FUNCTIONS

  • Provides office and galleries reception during business hours (currently 9-5, M-F), including front desk and phone inquiries, ensuring all guests are warmly welcomed to 4Culture during their visit.
  • Provides a high level of customer service by promptly and accurately responding to inquiries and directing visitors to the office, notifying appropriate staff of visitor arrival.
  • Monitors visitors to Gallery4Culture and Storefront Media Gallery exhibition spaces.
  • Manages the ordering, receipt, storage, and distribution of general office and meeting supplies.
  • Supports funding panels by ordering and receiving panel food and preparing panel books as needed.
  • Coordinates building maintenance scheduling including janitorial and maintenance contractors.
  • Maintains and distributes employee contact lists and administers meeting room calendars.
  • Maintains safe and clean reception area; acts as a facility safety point person by monitoring potential situations in the public space, engaging in safety protocols as needed, and serving as the first point of contact in facility emergencies.
  • Receives mail in and out of office, including signing for and distributing packages as well as delivering mail to Finance staff.
  • Coordinates with Communications staff to ensure publications in the reception area are appropriate.
  • Reviews general voice mail and ensures messages are recorded accurately and completely and are quickly routed to appropriate parties.
  • As requested, provides clerical support, including panel notes.
  • Coordinates administrative aspects of preserving public records related to the position.
  • Works with Director of Operations and staff to improve procedures and processes by contributing ideas and troubleshooting issues as they arise; proactively seeks out solutions and brings ideas for improvements.
  • Contributes to the overall health and welfare of 4Culture by participating in internal work groups that address overarching issues affecting the operations of the agency and working collegially and collaboratively with other 4Culture program and administrative staff.
  • Perform other duties as assigned.

QUALIFICATIONS

Required education and experience: High School diploma and two or more years of related professional experience; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of this position. The most successful applicants will also have customer service experience and/or experience working for non-profit organizations or governmental agencies.

  • Written and oral communication skills are essential for this job.
  • Ability to handle confidential and time sensitive material.
  • Ability to organize meetings including preparation of agendas, minutes and meeting handouts.
  • Ability to manage several complex projects simultaneously, often in a high-stress, high-pressure environment.
  • Skills in problem solving, as well as strong organizational skills and an attention to detail.
  • Strong working knowledge of Microsoft Word, Excel, PowerPoint and the Internet.
  • Ability to work independently and with 4Culture staff, government employees, media, and members of the general public in an effective, congenial, and professional manner.

PHYSICAL REQUIREMENTS

  • Long periods of being in a stationary position.
  • Operating a computer and other office equipment.
  • Occasional moving to/from various work areas, frequently communicating by phone and email.
  • Frequently remaining in a stationary position during meetings, discerning meeting content, and recording accurate information.
  • Frequently moves supplies and/or equipment weighing up to 30 pounds.

ADDITIONAL QUALIFICATIONS

The most highly qualified applicants will have demonstrated knowledge or experience in at least two of the following areas:

  • Interest in art, local heritage, and historic preservation.
  • Experience with Salesforce, or other contacts database systems.
  • Experience supporting committee and board meetings.
  • Familiarity with and interest in Seattle’s Pioneer Square neighborhood and King County.
  • Familiarity with municipal and non-profit local arts agencies throughout King County.

ADDITIONAL INFORMATION

  • Work location is 4Culture offices at 101 Prefontaine Place S, Seattle, with field work throughout King County, Washington.
  • Position works a 37.5 hour work week, Monday-Friday. Occasional early morning, evening and/or weekend hours are required.
  • This position reports to the Director of Operations and works collaboratively with other 4Culture professional staff.

COMPENSATION

The salary range for this position is $20.61 to $26.37 per hour, depending on experience, and includes a competitive package of benefits, including participation in the WA State Retirement System. It is classified as Regular Full Time, Exempt.
