Instructions for screen SRF105

This screen is used by the Registration Office to Add to, Drop from, or Change a student's current schedule of courses (listed in the middle of the screen). It is also used by the Graduation and Academic Records Office to designate repeated courses. This screen is helpful in determining if a student is eligible to register for a particular quarter. If the screen will not display for the upcoming quarter, the student is not eligible to register possibly because of holds on their record, or the need for a Returning Student Application.

SLN: The SLN that will be added, dropped, or changed is entered here. (To process a course change, the SLN must be currently located on the student's schedule in the middle of the screen).

DUP: If a course is added and dropped once on STAR or on the SRF105 , a letter "A" appears in this column. If the course is added or dropped a second time, a "B" appears in this column, etc. If there is a letter in this column directly next to the SLN being changed, that letter is entered in the DUP column on the bottom half of the screen in order to process the change. In other words, to change a course, it must match the course as listed in the middle of the screen. If the letter is not placed in the DUP column when changing the course, there will be an error message at the top of the screen- "Course Dup not Active" and the course will not be changed.

ACTION: The possible actions are: A for add, D for Drop, C for Change

V-CR: To change the credit amount on a variable credit course, the number of credits are entered in this column. Variable credit courses are designated with a "V" immediately to the right of the credit amount in the CRED column in the middle of the screen. (shown above)

ENTRY: A special five-digit code is required to add or drop some courses. If adding or dropping a course, the entry code would be entered in this column.

OVER: The following is a list of override codes that can be used to override different requirements when adding or dropping a course: A, B, E, H, L, M, P, S, T, X. The use of different letters depends on the circumstance needing the override. For example, a "T" is used by the Registration Office to add a Time Conflict course to a student's schedule.

SNS, AUD, RPT: An "X" is entered in one of these columns to change a course to SNS, AUD, or to designate a repeated course (a "C" is placed in the ACTION column).

DATE: If a transaction needs to be backdated because the student should not be charged a $20 fee, the date field at the top of the screen is changed to reflect a date before the $20 fee was being charged for the quarter.

DRP: If a student has used their Annual Drop, it is displayed here. As shown above, 4127 is the SLN that was dropped and 4/98 means the student dropped the course during autumn quarter (1=winter, 2==spring, 3=summer, 4=autumn) of 1998. Registration Section
