Pottery Northwest (PNW) has an opening for an Operations Coordinator. The Operations Coordinator reports directly to the Executive Director and is the staff member primarily responsible for the administrative functions of the organization. This position is a 40 hour a week, full-time, non-exempt position, with occasional weekend and evening hours.
Responsibilities – Operations and Studio Coordination
● Manage the info@potterynorthwest.org inbox
● Reception desk duties
● Manage scheduling and calendar for ED and leadership committees
● Compile and distribute board meeting materials
● Maintain rosters for classes and studio access
● Manage scheduling software for studio access and virtual classes
● Manage website including online shop, classes products, and landing pages
● Gather inventory, track sales, coordinate pick-up and shipping for online gallery
● Tech support for staff
Responsibilities – Administration
● Issuing invoices through PayPal batch uploads
● Accounts payable/receivable
● Tracking transactions in Quickbooks
● Keeping physical records of transactions
● Preparing deposits (cash, checks, PayPal)
● End of month and year reconciliations
● Forecasting
● Tracking and processing gallery and retail sales
● Running payroll
● Collecting and filing tax forms, contracts, etc
● Working on misc. docs (handbooks, guidelines, etc)
Required Qualifications
● 1 year working in an office environment
● Customer service skills, written and oral
● Organizational skills and experience managing multiple projects at a time
● Experience with Microsoft Office Suite or similar software
Desired Qualifications
● 1 year working in nonprofit administration or similar field
● Experience managing a website
● IT problem solving skills
● Experience with email software, scheduling applications, web building, photo-editing
software, Quickbooks or accounting software
● Enthusiasm for the arts, cultural activities, or non-profits a plus
