UW Dept of Aeronautics & Astronautics seeks Student Office Assistant

The William E. Boeing Department of Aeronautics & Astronautics seeks student team members to support departmental core functions as part of a front office team. While all student assistants support a core set of tasks in person, there is the opportunity to specialize in communications, events, finance, or facilities. Tasks include but are not limited to:

Main Office Support (60%)


  • Greet visitors and assist or refer them as needed
  • Receive mail & parcels, ensure distribution to recipients
  • Check out AV equipment to users
  • Make copies, scan material for users
  • Keep front office and reception area clean and tidy

-Maintain Guggenheim bulletin boards

  • Maintain copy center & office supplies:
  • Fill copier, fax, and printer paper trays
  • Monitor inventory, organize, and restock supplies

-Run errands (i.e.,pick up/deliver documents to Grad Admissions, C2, CoE, UW Tower, Gerberding, UW transportation)

-Maintain meeting rooms

  • Book department meeting rooms
  • Keep meeting rooms clean and tidy

-Key and instructional equipment checkout for faculty, students, staff

  • Process key sign out and return
  • Process equipment sign out and return

-Clerical support

  • Make or re-label, interfile and/or purge files, including confidential academic and personnel records.
  • Update or extract information from databases
  • -Research and update alumni status
Specialized Areas (40%)

Student assistants may help with one or more of the below areas on a regular basis.

Departmental Communications

-Assist with communication content production and editing

  • Assist with content for department’s social media accounts
  • (Desired) Ability to design/edit/update templates
  • (Desired) Familiarity with WordPress to update web

-Assist with alumni outreach

  • Prepare department recruitment materials and mailings (printing, stuff envelopes, etc.)

Event Support

  • Set up event space, clean up after
  • Help reserve event space, event supplies, secure/schedule vendors, etc.
  • Prepare day-of materials (promotional images, folders, etc.)
  • Staff registration tables
  • Support department seminar series
  • Serve as point of contact to ensure seminar speakers enjoy their visit to A&A

Fiscal Support

  • Assist with financial reconciliations
  • Attend fiscal team meetings
  • Write up policies and procedures
  • Ensuring all packages have packing slips.

Facilities Support

  • Collecting and documenting surplus
  • Assist with office moves
  • Key checkout
  • facility requests and work orders
