Position Summary

The Executive Administrator will be responsible for providing primary support to the Executive Director and comprehensive support to the Board of Directors, Development team, and general office administration. This position requires the ability to anticipate needs and organize competing demands with a high level of professionalism and confidentiality.

Primary responsibilities:

 Administrative Support

  • Assist Executive Director in all aspects of job
  • Record filing and organizational support
  • Manage all scheduling and calendar requests for the Executive Director
  • Adapt existing task management systems and implement new systems, when necessary
  • Generate weekly the Staff Meeting Agenda, with help from Directors, take minutes and file accordingly
  • Attend meetings with, or on behalf of, Executive Director, and take corresponding minutes, then file accordingly
  • Process and send out organizational mail, as needed
  • Help manage organizational inbox and voice message system
  • Other tasks as assigned

 Board Support

  • Support Board as required, ie. correspondence with Board members on behalf, and as directed, with by the Executive Director, scheduling meetings, taking meeting minutes, digital filing, and occasional tech support

Development Support

  • Track tasks for Executive Director’s critical role in donor prospecting, solicitation, and stewardship
  • Responsible for processing complete cycle of gifts: enter gifts into Salesforce, create acknowledgement letters for Executive Director to sign, create reports for Executive Director and Board thank you calls and cards, ensure acknowledgement letters are mailed and filed in compliance with Development team procedures
  • Track all Executive Director and Board donor engagement and correspondence in Salesforce, in coordination/compliance(?) with Development team
  • Generate donor reports from Salesforce, in coordination with Development team, for Executive Director and Board as needed
  • Work with Development team to ensure Executive Director successfully engages with donors as appropriate to giving level

Qualifications:

  • Passion for Path with Art’s mission
  • Ability to handle sensitive issues with integrity and confidentiality
  • Technical proficiency in Mac operating systems, Dropbox, Salesforce, Microsoft Office Suite and Google Suite preferred
  • Excellent verbal and written communication skills
  • Strong organizational, problem-solving, and analytical skills; ability to manage multiple priorities and workflow
  • Strong interpersonal skills; Ability to deal effectively with a diversity of individuals at all organizational levels
  • Strong work ethic
  • Healthy sense of humor

Since 2008, Path with Art has been at the forefront of a growing international movement that utilizes the power of art as a means to bring dignity, awareness, and healing to the complexities of the issues surrounding homelessness, and recovery from trauma.  As a long-time leader in this field, the Path with Art model is currently being sought out and recognized by communities both nationally and internationally.

WHO WE SERVE

We serve low-to-no income adults in active recovery from domestic abuse, homelessness, addiction, mental illness, and other trauma who are working to rebuild their lives.  Our students are referred to us by over 30 social service partners. These include housing providers such as Plymouth Housing, the YWCA, and the Downtown Emergency Services Center as well as social service and mental health agencies such as the Community Psychiatric Clinic and Recovery Café.

Work Environment

Generally, work is in an office setting but may occasionally be required to perform job duties outside of typical office environment. Some events take place in the evening. During pandemic, most of the work will be done remotely. The Path with Art office generally operates 9am to 5pm Monday through Friday. However, this position may periodically require availability outside these hours and during the weekend.
