Instructions for screen SRF316

This screen displays courses and grades for a particular quarter. Grade changes and course designation changes are entered by GAR's. Any transaction in the course/grade fields will be recorded on an audit list with the user ID and name and the change date will be the date of the transaction. Quarterly and cumulative credit summaries are maintained with each change made.

Heading Data:

QTR/YR: the quarter and year of the transcripted courses.
ACT: Action. C= to make changes made in the override fields. Used by GARs to deduct credit for maximum credit courses if student goes over the maximum. The override line highlights when it has been used.

CLS: class standing

MAJ: the college and major of the student. Up to three different majors may be indicated.

QTR GPA: The quarterly grade point average for courses taken during this quarter and year. This number is determined by the number of graded credits the student took. In the case above, 29.6 grade points divided by 8 credits is 3.7.

GR PTS: It is determined by multiplying the number of graded credits by the grade earned. Then if there are several graded courses, they are added together for the final number. In the case above, 3.8 * 4 = 15.2 and 3.6 * 4 = 14.4. Together they reflect the total shown above of 29.60.

Override fields:

The Override Line on the 316 screen will be highlighted whenever a change has been made. If the Action being done does not take, it will Flash. This highlighting is doe so that everyone will be aware that a change has been made.

QUARTER COMMENT: Displays comment that will print out on the transcript directly below the particular quarter. Quarter comment information is entered on SRF315 (i.e. "Study in Italy").

Course/grade designation fields:
ACT: Action. A=add; C=change; D=delete

B: Indicates campus; blank=main; 1=Bothell; 2=Tacoma

IN: Institute. This field is used to note courses that are in a particular program. The program information is a part of the Time Schedule record. It is used to indicate this attribute. Some of the programs are: 88 ROTC, 90 WWAMI, 91 Friday Harbor, 92 EMBA, 93 MEDEX, 94 Extended MPH, 95 UWEO, 96 EDGE, 98 Early Fall Start, 99 Late Added or Out of Quarter

DEPT: departmental abbreviation for the course

#: course number

Transcript Section

SEC: course section

S: used for summer quarter only. A=A term; B=B term; blank=full term.

HR: H=Honors course, W=Writing course, B=both writing and honors course (will print out as a HW on transcript) Also used to indicate research notation R or service notation S.

Course Title: approved curriculum title for the course taken from the curriculum file that displays on SRF 205 .

CRED: number of credits

GRD: displays grade student earned in the course. Numeric grade (4.0-0.0), CR/NC, X=no grade has been submitted, N=satisfactory without grade (used for hyphenated courses), I=Incomplete; S=passing grade for courses taken on S/NS option; NS=not satisfactory grade for courses taken S/NS option; W=course drop; W3-7=course dropped week 3 through week 7 (allowed one per year); HW=Hardship Withdrawal.

#: indicates a hyphenated (the same course is taken over a period of quarters) course. The course will have the same grade for each quarter it is taken. the grade does not get posted until the course has been completed. If there is an N#, it means the course has not yet been completed. The N will be removed when the final grade is posted to the student's record.

I: A grade followed by "I" indicates an incomplete was initially awarded but a final grade has been received

G: Grading designation system. 0=standard (most cases will be numeric); 4=student has chosen satisfactory/non-satisfactory option; 5=credit/No credit (only the dept can select this designation; 9=audit (the course will not print out on a transcript).

D: Deductible. Indicates the grade counts in the GPA but credit is not allowed toward degree requirements (lower division military science, esl)

R: Repeat. For undergraduates designates a language course initially taken in high school (used for lang of admission) and repeated but not allowed credit and not included in the GPA.

DR: when both fields are indicated means the student repeated the course. Removes the credit but the grade still counts in the GPA.

M: Multiple. Used if student takes the same course more than once in the same quarter (0 for first course, 1 for second, 2 for third etc..)

S: self sustaining

E: evening degree

CHG DATE: last date the course or grade designation data was changed
