Two different screens are used to find and show test scores for applicants/students when the SDB cannot exactly match this data to their record. The test scores would have been uploaded through one of the nightly processes. If the scores cannot be matched at this time to a specific record, the test score information is saved in the Student Database. This allows staff to match it to the correct applicant or student. Staff do this by going through a lengthy process by verifying the student's name, SSN, date of birth, high school or prior schools, etc before matching the scores to their academic record.
Mismatched data may occur if an applicant or student enters their name one way on their application but use a nickname when taking their tests or vice versa. Or if an applicant/student, does not use enter their middle name or the social security number on either the application or as part of the test score data. Only after the data has been checked and verified, is the test score information matched. The matching process transfers the data to the SRF530 screen where is may be viewed.
The SRF536 screen is used to search the database for applicant/student with unmatched test scores. You are able to search using either the last name or the Social Security Number. The SEARCH MODE field will indicate which mode you are using. The SSN search mode will show only the records associated with the SSN entered. The NAME mode will show the next name in sequence with unmatched test score records. If you find records that need to be matched to a particular applicant/student, you need to use the SRF535 screen for matching.
Some areas do not have access to the SRF535 but may use the SRF536 to search for applicants/students and their scores. If they find a score that needs to be matched to a particular student, either Grad Admissions or Undergraduate Admissions will use the SRF535 screen to match the scores.
