Information for Presenters

Oral Presenters & Panelists

Each session will be 90 minutes in length. Presentations will in most cases be 15 minutes for a formal presentation and 5 minutes for questions and discussion. However, depending on the number of presenters or panelists in your session, presentation time will vary. Moderators are in charge of determining how much time each person should have and are tasked with keeping the session on time.

If you are a panelist, your moderator will be contacting you in advance of the symposium; if you are a presenter of a submitted oral abstract, please plan on using 15-20 minutes. Your session chair may not be in contact with you before the event. To see where you are in the schedule and note other people who will be a part of your session you can see this information on the session details webpage.

If possible, on the day before you’re scheduled – during breakfast, lunch or a refreshment break, please go to your session room to familiarize yourself with the set-up, equipment, and its location. Have your electronic file on a USB flash drive and load a copy of your presentation onto the dedicated computer in that room. Session room assignments will be indicated in the printed program. You will receive a program when you check in at the symposium. It will include maps of the venue with floor plans, and rooms in use will be labeled. When you arrive, please check in at the Symposium Registration Desk in the Rotunda of the Bicentennial Pavilion (diagram of building here). We will have early check-in available 4-7 PM on Monday, March 25.  This is a great time to get your badge and other materials needed, and avoid long lines which will be expected on Tuesday morning, just before the Opening Plenary.

AV Equipment in Presentation Rooms

Each presentation room will be equipped with the following:

  • Computer
  • Data projector
  • Screen
  • Microphone
  • Podium

Preparing an Effective Oral Presentation

The goal of the presentation should be to summarize your topic. In 20 minutes it is not possible to convey all the details of your work.

Use well-prepared audio/visual aids
Use MS PowerPoint presentations for visual enhancement to oral presentations. A data projector and laptop computer will be provided. Any other AV needs beyond that should be communicated in advance to the logistics coordinator: wwater13@uw.edu.  Your text should be large, clear, and readable 30 feet away from the screen. It’s best to include no more than three points per slide.

Stay on time
All presentations will be allotted 15 minutes for a formal presentation and 5 minutes for questions and discussion. The moderators will maintain these time limits rigorously to assure that no one cuts into anyone else’s allotted time. We expect 250-300 attendees, from multiple backgrounds and sectors at the symposium. Their time is valuable, as is yours. Please spend time wisely by seeking to educate, entertain, and enlighten the audience Above all, be prepared to maintain their attention and interest.
