PLEASE NOTE: Credentialing at the VA is an extensive process and can take several weeks to complete. It is important to being this process no less than eight weeks prior to the start of your rotation. Failure to meet credentialing deadlines can result in cancellation of your clerkship.

Site Onboarding Tasks:

  • You will receive an email invite sent from MVI.systems@va.gov
  • Sign in or Create an account for ID.me
  • Complete and submit the invitation back to the VA
  • VA receives documents once final Submit button is clicked.
  • VA Administrators will review the documents and request for corrections if necessary.
  • VA Administrator will send “Next Steps” email once all documents are complete and able to process the Onboarding profile.

Important details when filling out your VA onboarding documents:

  • Your address and phone number must be your own personal contact information.
  • Your name must be your full legal name: First, Middle (fully spelled out), and Last.
    • If your name is not shown with the full spelling of your first, middle, and last name, STOP and do not submit your documents. You must correct your name before proceeding. Not having your full name WILL delay your onboarding and rotation at the VA.
  • If you do not have a middle name, or if your legal middle name is only a single initial, please contact PugHPTOnboarding@va.gov so the team is aware before you continue.

Important do not to complete prior to receiving the “Next Steps” email.

  • A background questionnaire is emailed and needs to be completed within 3 days of receipt
  • Fingerprint enrollment needs to be completed within 10 days of “next steps” email receipt or as indicated in the “next steps” email.
  • TMS (Mandatory training for trainee’s) needs to be completed within 5 days of the “next steps” email.

First Day Instructions:

You are required to attend the onboarding orientation on your first day prior to beginning your rotation. During this session, you will receive all necessary materials and information for your rotation. An email will be sent from PugHPTOnboarding@va.gov about a week prior to the rotation with full instructions.

  • You will need bring two pieces of REAL-ID compliant government issued ID to your fingerprint enrollment and your First day Orientation. You will need the physical documents; a screen capture or picture of the document will not be accepted. The first ID must have your photo and REAL-ID compliant such as a Passport or State Driver’s License (for Washington State, the license must be enhanced with a USA Flag next to your picture) .
  • Please see the PIV Matrix for a complete list of acceptable documents for first and second forms of identification.  Your student ID will not be accepted as a form of identification.

  • If you have been issued a badge previously from any VA location, please be sure to bring the badge with you. The PIV office will direct you away and a new appointment will need to be obtained once the old badge is available.

It is important to note, once issued a badge – This is Federal Government property. If not returned at the end of a Federal contract, there could be a penalty or possible prosecution under federal guidelines.


First Day Instructions

Instructions and resident contact information for the first day of the rotation will be available on Canvas. Students will be granted access to Canvas during the week prior to the start of the rotation and the expectation is that all orientation and site specific information is to be reviewed prior to the first day of the rotation. Students will receive an email from the Dept. of Surgery with additional information about Canvas.
