Student Diversity Event Fund (SDEF) Mission

The mission of the Student Diversity Event Fund is to support program and events which enhance the communication and exchange of multicultural perspectives and values.

Funding Eligibility

  • Must be a registered student organization (RSO) through the Student Activities Office (SAO) at
  • Event must have an educational and/or culturally enriching focus
  • Event programming must be aimed at enhancing a positive campus climate
  • Program must be open to and inclusive of all UW students; programs deemed too exclusive will not be eligible for co-sponsorship.

Funds May be Requested for

  • Campus facility and equipment rental
  • Honoraria for performers/speakers (if performers/speakers require additional separate funds such as airfare/lodging, you must include this information in your funding request)
  • Event related promotions such as printing and advertising (i.e. posters, flyers, banners, tickets)
  • office supplies for RSO to utilize (i.e. training, workshops, events, recruitment)
  • Security
  • Registration fees to academic or professional conferences that relates to the area of student leadership and retention

Funds May Not be Requested for

  • Giveaways/promotional items (i.e. t-shirts, door prizes, etc.)
  • Food provided for individuals to consume (i.e. catering orders, snacks)
  • Alcohol
  • Event tickets or purchases controlled by non-UW students that does not align with the SDEF mission
  • Off-campus event reservations for RSO to utilize physical space for own programming/events
  • Fundraisers, donations, advocating for legislation or partisan political activity
  • Religious worship, exercise or instruction
  • Reimbursement for past events or transactions
  • Cancellation fees

Funding Request Process

  1. Complete Funding Request Proposal by submitting request form 4-6 weeks prior to your program.
    • Be sure to have the following information ready prior to submitting request form:
      • All promotional materials for event (if it is not ready, share that information in the request form)
      • Spreadsheet breakdown of items, quantities, and costs or copy of invoice/quote 
  2. Applications will be reviewed weekly be the SDEF committee. After submission, you will be emailed directly within two weeks to inform you of your funding status.
  3. If awarded funding, a member of the RSO(s) (a student planning/coordinating the event) must attend a mandatory funding meeting with ECC Staff to discuss proper allocation procedures
  4. After the event, RSO(s) are required to submit a post-event packet that is due no later than 3 weeks after the event. Post-event packets must include the following:
    • Completed final evaluation form
    • Copy of your final budget summary of all expenditures and co-sponsoring partners/organizations and their contributions
  • Compliance: Failure to complete the necessary requirements and/or process may compromise your organization’s ability to receive future funding from the ECC and/or OMA&D. The OMA&D Student Diversity Event Fund has the right to withdraw funding at any time if publicity and/or program content do not meet the necessary requirements.
